A great opportunity for an experienced Administration Coordinator to step into an Operations Coordinator role. Work closely with the Project team to help with all admin activities for the projects and the branch.

Working on Commercial Construction Projects within the concrete preparation / waterproofing and Epoxy flooring industry. Help the busy team set up their new jobs and reach their project goals through accurate administration support.

Your main duties in short will be:

- Administration tasks for projects and office
- Managing contracts for projects
- Managing variations for projects
- Procurement of materials
- Claims and variation claims
- Liaising with clients and project managers for projects
- Client contact regarding project documentation

**Main duties/ responsibilities will be**:

- Control of "New Jobs" which includes timely completion of budgets, safety plans and contractual paperwork (queries with budgets see Chief Estimator, queries with safety plans see Project Managers, queries with contracts see Managing Director)
- Ensure Project Administration Spreadsheet is updated.
- Complete variations to Jobs in Workbench in a timely manner.
- Process Job Closures and ensure that documentation is signed by Project Managers.
- Create Job Folders for new Jobs.
- Archive Job folders once job complete and all claims finalised.
- Submit Claim schedules monthly
- Answer phone and respond to in-office enquires as needed.
- Timely contact with Builder on site to establish start date (next or same day of notification of job) (queries see Project Manager)
- Process Warranty requests from Clients to Suppliers.
- Making of appointment for Project Manager to attend site before start date (queries see Project Manager)
- Hand Over meeting with Project Manager (queries see Construction Manager)
- Assisting Project Managers with 'office requests' e.g. data sheets supply/research for product/staff etc (queries go back to origin of request or Construction Manager, after that Managing Director)
- Set up of new quotes for Estimators in conjunction with Purchasing Officer/Accounts and Admin
- Control of timely completion of quotes - discussions with Estimator and or Managing Director re volume of outstanding
- Assisting Estimators with quotes when required
- Fill in for Purchasing Officer when they are on vacation

**SUCCESSFUL APPLICANT**
- You may have **completed or completing a construction related tertiary education **in estimating, engineering or construction management.
- OR you are keen to expand on your office administration experience into the construction industry.
- Excellent computer skills.
- Good presentation and communication skills.
- Strong work ethic, organisational skills.
- Ability to meet work deadlines and be able to perform under pressure.
