About the role

The Workplace Services Representative is responsible for providing a high-level customer service, support and workplace advice on workplace related matters to all employees and visitors to AGL’s corporate workplaces.

This role will be based at our Sydney Corporate Office, on-site 5 days per week.

What you’ll be doing
- Reception services, including greeting visitors/contractors/employees professionally.
- Answer corporate switchboard and inbound employee phone line and respond to all queries appropriately.
- Manage the Workplace Services shared inbox and address all enquiries with strong written communication, escalating or triaging as necessary.
- Lead New starter Induction tours and office tours for visitors/contractors when required.
- Accurately manage and maintain security access for all employees and visitors to AGLs corporate sites.
- Awareness and monitoring of CCTV security systems to ensure operational effectiveness as well as escalating any issues security related issues to the Security Manager.
- Complete office floor walks and log any maintenance issues with our Facilities Helpdesk.
- Manage orders and delivery of office consumables (stationery, kitchen consumables, coffee, alcohol and soft drinks, cutlery, crockery and glassware stock levels and others).
- Manage all Incoming/Outgoing business mail services accurately and within set time frames.
- Manage and action meeting room setups and event requests (e.g., loading dock requests, room setups, site access requirements etc) within set time frames.
- Receive and delivery catering orders and provide water service in external facing meeting rooms.
- Manage onboarding process for new starters (take photo, create security access card, assign locker etc)
- Manage offboarding process of terminated employees, including follow up of
unreturned/uncollected items when required.
- Manage the allocation of lockers and team storage and accurately capture data in the database, as well as run monthly audits.
- Provide remote support to other AGL corporate sites where there is no onsite presence.
- Create and maintain written team processes to a high standard.
- Maintain accurate data on live spreadsheets/forms included in internal processes.
- Provide support to the broader Property team as required with physical signage, building relocations, employee education, liaising with contractors, etc.
- Generate and contribute ideas and initiatives that support business improvement and continuous improvement across the Workplace Services function.

What you’ll bring to the table
- Minimum one year’s experience in a similar role
- Be available to work on-site 5 days per week
- Strong written and verbal communications skills
- Proficient in MS Office (Word, excel, power point etc).
- The ability to work autonomously and as part of a team and effectively manage time and prioritise workload.
