The Administration and Service Delivery Officer plays a crucial role in supporting the Branch. They provide high level executive support, and coordinate the Branch’s work program and organisational commitments to enable the delivery of strategic and operational objectives. This includes coordinating work effort, tracking and reporting progress, and working collaboratively with other Branches. They also provide secretariat and administrative support across the branch to facilitate meetings with internal and external stakeholders.

The duties of this position include:

- Coordinating the administration and delivery of the branch’s work plan and commitments, including developing the annual work program in consultation with the MSQ Branch, coordinating delivery including negotiating with other Branches, and tracking and reporting progress to the Director, MSQ.
- Preparing reports and briefing materials for governance forums and audits ensuring alignment with strategic objectives and compliance requirements, including collating, interpreting and presenting information, and articulating clear and actionable insights.
- Delivering high-level secretariat support to the Health and Safety Committee and secondary support to the Audit and Risk Committee, ensuring adherence to their respective Terms of Reference.
- Managing shared functions of the Branch including coordinating management system audits, performing annual stocktake, coordinating site-wide activities (e.g. events, presentations and training), administering the Mint’s ISO subscriptions to required standards and monitoring changes requiring action, and administering requests for systems access.
- Leading the coordination of Branch communications, including monitoring communication channels, maintaining current records and information on the Branch SharePoint site, and coordinating internal meetings including arranging venues, scheduling meetings, preparing documents and providing other support as required.
- Providing procurement and financial management support to the Branch in accordance with PGPA Act requirements through raising purchase orders, processing invoices, coordinating quotations and administering contracts, and assisting with budget preparation.
- Facilitating recruitment processes within the Branch by requesting the advertisement of vacancies, coordinating and scheduling interviews, scribing and supporting the induction of new Branch members.
- Providing executive support to the Director, MSQ including:

- managing their schedule, including planning and prioritising meetings; and
- reconciling their travel and credit card expenses.
- Liaising with internal and external stakeholders to build and maintain strong relationships.
- Executing administrative functions for the Branch, including supporting travel and training requirements, and procuring stationery and Personal Protective Equipment (PPE).

**Security clearance**
This position requires a **Baseline**security clearance. The successful applicant will be required to obtain and maintain a clearance at this level.
