**POSITION OBJECTIVE**:
The principle objective of this position is to support the OM in the management of the front office and co-ordination of admin, office resources, patient care & consumer services to ensure patient safety and quality processes are adhered to as part of effective organisational governance systems.
**Context**
This role is to primarily provide support in the area of administration and office reception ensuring safety and quality processes are in place and effective supporting role in the front office administration. Admin/reception staff should comply with the National
Safety and Quality Health Service Standards and the AS/NZS ISO 9001 Quality management systems.
**KEY RESPONSIBILITIES & DUTIES**
**1. Technical Skills and Abilities**
Each Administration Support person is responsible for:
- Understanding the role of the Administrative Support function of the organisation.
- Ensuring the respect and confidence of other staff is maintained.
- Management coherence is maintained.
- Understanding and supporting the indicators used in measuring organisation performance.
- Supporting the mission, goals, roles and objectives of the organisation.
- Key actions which need to be undertaken by the management team are prioritised.
- Staff consultation is both effective and regular.
**2. Customer Service**
- Presents a warm and welcoming attitude to all Visiting Medical Officers, Staff, Patients, Relatives and Visitors.
- Ensures that CHDS’s customer service to patients, relatives, staff and Visiting Medical Officers is of the highest standard.
- Provide a safe, clean and friendly environment for patients, relatives, staff and Visiting Medical Officers.

**PD - ADMIN/RECEPTION STAFF**:

- Acts as a role model for other members of staff.
- Behaves professionally in day to day relationships with people working in and visiting the Centre.
**3. Teamwork and Communications**
- To work with other members of the management team to ensure the smooth running of the day surgery.
- To report to the Office Manager, Director of Nursing and Senior RNs.
- Demonstrated strong written, verbal and analytical and problem-solving skills.
- Participates in regular Team Meetings and other meetings and committees as required.
- Demonstrates effective use of interpersonal and group communication skills.
**4. Documentation and Administration**
- Every staff member is responsible for ensuring that all documentation is complete and complies with legal requirements and the policies of the Chelsea Heights Day Surgery & Endoscopy.
- You will not discuss information regarding patients, staff or the organization which is private or confidential.
- Every staff member is responsible for notifying management of changes to their personal details.
**5. Continuous Quality Improvement**
- Participates in continuous quality improvement within the Centre in the area of safety & quality processes as described in the NSQHSS requirements
- Participates in Quality Activities as required.
- Participates in maintaining accreditation/certification for the centre.
- Identify and recommend changes to improve the services of the day surgery and CHDS as a business.
- Identify and recommend changes to the practices of the centre.
