**About the position**

This position is the first point of contact for our company, and also provides operational support across all aspects of the business.

**Team, reporting and relationships**

The person in this role will provide the first experience many of our clients have with Lovelight, so your personality and welcoming manner will be critical to setting the tone for a positive relationship. Responsibilities include offering administrative support across the organisation. You will welcome guests and greet people who visit the business and the showroom and you will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

**Responsibilities**
- Greeting Office and Showroom Visitors is the frontline component of this role, granting remote access, greeting the visitor and providing refreshments (water, tea, coffee etc) where required or requested.
- Manage inbound phone calls, obtain information to direct this call, and transfer to the right department/ individual
- Make contact with the customer for any additional information that may be required before allocating or forwarding
- Receive and submit to the Team Leaders (TL) any supplier cost changes received so that TL can update the quoting template
- Provide reliable office support maintaining stock levels of office supplies including stationery, consumables and Australia post stock
- You will maintain office hygiene, by assisting with daily cleanliness including stacking and unstacking the dishwasher, maintain cleanliness of kitchen and all showroom areas, and manage bins and stock in bathrooms as needed
- Arrange courier pickups and deliveries promptly when requested, as well as receive mail and distribute internally
- Provide excellent customer service by requesting and generating service calls, generating invoices for spare parts, and following up unpaid invoices
- Provide general support to the Financial Controller, including managing a number of registers for the car park, security codes, key fobs
- Liaise with Security Company and also landlord and tradespeople to ensure the building maintenance is up to standard

**Must have qualifications, skills, and experience**
- At least two years’ strong experience in administration or office support in preferably window furnishings or a directly applicable industry
- You will learn quickly, be open to taking instruction, and always want to know more
- Your customer service and phone manner will be welcoming, engaging, positive and professional at all times
- Self-motivated is the norm for you and you will have the ability to multitask, prioritise, juggle demands and keep smiling while you do it
- We want you to have an outgoing and engaging personality, with the ability to quickly build rapport, and in the longer term become a trusted colleague
- The ability to quickly develop and maintain working relationships with other team members
- You will be super-organised, with an impeccable eye for detail and process
- Excellent written and verbal communication skills and a high level of computer proficiency
