**About the Team**

The Office of the CEO is responsible for supporting and enabling the CEO by providing high-level strategic and operational support on a range of complex business and corporate issues. The FWO Advisory Group, Sub-committees, and Reference Groups were established in accordance with the Fair Work Ombudsman Statement of Intent (2023) for the purpose of working collaboratively with stakeholders to implement reforms and support tripartism in Australia’s workplace relations system.

The Assistant Director - Secretariat is located within the Office of the CEO, reports to the Executive Officer, and is responsible for the coordination and management of all processes relating to the Fair Work Ombudsman Advisory Group, Sub-committees, and Reference Groups.

**Typical Duties**

The duties of this role include, however, are not limited to:

- External stakeholder management - provide clear direction to external members of groups and ensure information is provided within agreed timeframes. Ensure meetings are scheduled well in advance to enable full participation of members.
- Provide full secretariat support and administration management of the FWO’s tripartite reference groups and sub-committees, including preparing meeting materials and recording meeting outcomes.
- Create and maintain clear, high-quality records with a high attention to detail - including meeting outcomes, forward schedules, actions arising registers, and internal web pages
- Work collaboratively with the CEO, Chairpersons of each group, high level internal and external stakeholders, as well as their support staff, to maintain momentum, drive outcomes, prepare and coordinate agendas and documents for meetings, all in accordance with agreed timeframes.
- Act as the primary point of contact for internal and external communications for the FWO’s tripartite reference groups and sub-committees.

Travel is a requirement necessary to fulfil the duties of the role.

**What we are looking for**
- Exceptional interpersonal and communication skills including the ability to succinctly articulate information and the ability to communicate effectively with a diverse range of stakeholders in a sensitive and confidential manner. Including with the FWO’s senior leadership team and their counterparts in external organisations.
- The capacity to independently draft high quality correspondence/documentation and also be able to adapt their style to the full range of internal and external communications as required.
- Understanding of the diverse interests of external stakeholders and ability to anticipate their concerns and reactions to issues and each other’s positions.
- Demonstrated ability to collaborate, influence, and leverage productive relationships with a broad range of internal and external stakeholders to influence outcomes and achieve the tripartite groups and sub-committees’ objectives.
- The ability to build consensus and gain support from both internal and external stakeholders through persuasive communication and relationship-building.
- Proven ability in managing complex administration processes, be able to provide high level administrative and strategic support for members and relevant stakeholders, as well as be able to identify and mitigate risks associated.
- Demonstrated leadership and operational direction across all aspects of the role, exercise sound judgment and have a common sense approach to resolving issues.
