If so, you might be the person we are looking for to fill our Visit Coordinator role within the Naval Shipbuilding Expert Advisory Panel Secretariat, located in Russell Offices, Canberra.
The role will provide you with exposure to major maritime capability programs in the Naval Shipbuilding Enterprise, senior government executives, Defence industry partners and opportunities to undertake interesting, challenging and unique work making valuable contribution to Defence’s mission and strategic objectives and priorities.
The Visit Coordinator role includes:
- **Stakeholder engagement **- to achieve NSEAP Secretariat goals and objectives while representing the Australian Department of Defence and NSEAP Secretariat as required.
- **Travel logistics **- developing travel options, obtaining travel quotes, creating Travel Budget Calculators for approval, securing travel arrangement and after travel acquittals;
- **Meeting logistics** - assisting with visit program development, scheduling meetings, briefing packs, and supporting meetings while the Panel are in Australia;
- **Security management and coordination** - monitoring, updating and coordinating Panel members clearances;
- **Administrative support** - diary management, record keeping, developing and updating Standard Operating Procedure documentation and visit templates;
As an APS 6 Visit Coordinator, supporting the EL 1 Assistant Director
- NSEAP Secretariat, you will be a key member of a small team - lead by Assistant Secretary - NSEAP Secretariat, dedicated to providing exceptional high stands of support and customer service.
**About our Team**
The Naval Shipbuilding Expert Advisory Panel (NSEAP) Secretariat is a small, dynamic team that is committed to providing superior support to the Panel and is responsible for strategic coordination of up to five in country visits a year, including meetings with senior Defence stakeholders, industry representatives and Ministers.
The NSEAP Secretariat possess a high level of integrity, deliver quality outputs and are dedicated to achieving desired outcomes. To be a strong contender for this role, you will need to be a highly organised professional who has excellent communication, stakeholder management and people skills, sound judgement and discretion and be able to deliver high quality results.
As a Visit Coordinator, you will assist the Assistant Director
- NSEAP Secretariat to coordinate Secretariat activities, administration and governance functions that support the Panel. The specific competencies below are considered critical to success within the Visit Coordinator role.
