About Us

Western Private Hospital (WPH), is a boutique private hospital servicing the West of Melbourne with the provision of acute services, which has 62 inpatient beds. WPH’s facilities include four Operating Theatres, CSSD, Day Stay Unit, Day Oncology Unit, Overnight Ward for CCU, HDU & Surgical patients, Cardiac Catheter Laboratory, Specialist Consulting Suites, Nuclear Medicine Department and supported by pathology, pharmacy, radiology and radiation therapy services.

About the Role

We’re looking for an experienced Payroll Officer to join the team at WPH, working on-site in the office in Footscray, on a permanent part-time basis with a minimum of 3 days (approx. 22.5 hours) per week as we embark on the next phase of our time & attendance system implementation.

Working alongside the Senior Payroll Officer, this role requires a payroll specialist who will be responsible for providing accurate, timely and efficient payroll services at WPH in accordance with relevant Awards, Agreements and legislative requirements, as well as be expected to support the payroll function when the Senior Payroll Officer is on leave.

You will play a key role in working collaboratively as part of the Payroll and HR team to create and maintain employee rosters/work schedules in Optima and iChris. You will also play a role in assisting the development of test scenarios for system improvements, EA & award changes, enhancements and new functionality.

The key responsibilities and duties for the role will include (but not be limited to):
End-to-end processing of fortnightly pay run for approx. 250 employees accurately, efficiently and in a timely manner in accordance with instructions, agreed expectations and best practice

Performing full function payroll tasks including onboarding, new starter processing, auditing, reconciliations, terminations, superannuation and ATO reporting

Processing payroll exceptions via iChris, checking of timesheet data within Optima including the running of reports, as well as the reconciliation/verifying of payroll results and data to ensure the integrity of the data in both systems

Responsibility for the systems administration of our employee and manager self-service system in Optima

Conducting time and attendance audits and escalate non-compliance to team leads/managers

Maintaining data and employee information in the payroll and time & attendance systems and other databases ensuring efficient, timely and accurate data setup and integrity

Monitoring payments and interpretation of awards and employment contracts

Calculation and preparation of manual payments, including termination, pay adjustments and redundancy pays

Provide effective communication, advice and assistance to internal and external stakeholders and develop and maintain quality relationships

About You

You are a passionate and talented individual with high level technical payroll expertise and an eye for detail, coupled with excellent customer service skills. You will thrive in a busy environment and will enjoy the challenge of working in an autonomous role, proactively and as part of a supportive team across Payroll, HR and Finance.

You will have exceptional people skills and will work to quickly build positive relationships with staff and managers across WPH. Selection Criteria

Several years’ experience in a standalone payroll role with full function knowledge and/or substantial end-to-end payroll experience in a medium-large and complex organisation - healthcare sector experience is essential

Experience with complex payroll software - use of iChris / Chris21 is highly regarded

Experience using workforce management (eRostering, time & attendance) systems - Optima is highly regarded

Working knowledge of Australian employment and payroll legislation, payroll tax, PAYG, Superannuation

Excellent time management and organisational skills and be comfortable with the strict deadlines associated with a fortnightly payroll

Be highly skilled in using Microsoft Office, in particular intermediate to advanced skills in Excel (vlookups and pivots essential)

Excellent, creative and analytical approach to problem solving

Excellent interpersonal, communication and relationship management skills

Exceptional attention to detail and data inputting with high levels of accuracy

Confidentiality, sensitivity, and integrity across all aspects of the role

Demonstrated ability to learn quickly and comfortable working in a changing and fast paced working environment

Demonstrated ability to work independently with initiative & flexibility, as well as cooperatively as part of a team and manage own workload
