**THE ROLE**

A new and exciting opportunity to join the Future Energy and Technology business is now available. As the Personal Assistant, you will be accountable for organisational, administrative, and secretarial support for the General Managers, including Future Energy and Technology administrative support for associated teams.
- Procurement - Timely payment of invoices using SAP Concur, and in accordance with payment terms - process requisitions, purchase orders, service entry sheets, contract registration, setting up of suppliers and maintaining records of transactions in the invoice log.
- Organise and coordinate special events, conferences and team building events on behalf the GM and team.
- Organise and manage travel arrangements of the GM’s
- Maintain appropriate group distribution lists for all team communications.
- Maintain efficient filing, recording and retrieval information systems.
- Monitor and distribute reporting to lead team including but not limited to credit card, travel, hybrid working, core compliance training.
- Process monthly expense reports for GM’s in SAP Concur
- Managing and ordering of team hardware - PC’s/Laptops/iDevices/Modems (in accordance to Origin policy)
- Assisting with the Onboarding of new starters
- Assistance with IT and WPS service now requests
- Seating plans and assistance with tasks surrounding this including i.e Serraveiw data entry for designated state.
- Performing administrative and coordinating duties for the departmental team i.e. scanning/photocopying/printing/binding.
- Coordinate diary requests (internal/external) for GM’s; plan, schedule and discuss/action all entries into the GM’s diary to ensure effective working relationships across Origin are maintained, team supported, and various projects and issues progressed.
- All ad hoc duties as they come to hand
- Required to take afterhours calls re travel as necessary

**IS THIS YOU?**

To be considered for this opportunity you will have experience supporting a senior Manager or above in a medium to large corporate organisation, and enjoy working in a fast paced environment, while being detailed orientated. You will have the ability to build and maintain strong relationships with multiple stakeholders across the organisation and externally.

You will also be able to demonstrate.
- Exceptional organisational, planning, co-ordination and time management skills with superior attention to detail, ability to manage competing demands
- Highly developed secretarial skills and experience organising and maintaining a document management system including correspondence, files and records
- Excellent interpersonal and strong verbal and written communication skills
- High degree of tact and diplomacy and a respect for confidentiality in all matters
- Positive, professional, pro-active and, resilient “can do” approach
- Aptitude to learn new systems and processes and share knowledge with other team members
- Emotional maturity, and calm under pressure
