**Key responsibilities of this role**:

- Provide confidential administrative and business support to the Deputy Director-General, including maintaining effective time management practices for the Deputy Director-General through coordinating diary appointments and preventing unnecessary interruptions, organising meetings and other events that may require venue booking, catering, preparation of agendas, set up of technical equipment and recording of minutes.
- Assist with identifying, developing and implementing executive support procedures and systems to accommodate the demanding environment and ensure the efficient scheduling of the Deputy Director-General’s commitments, correspondence, appointments and overall office management.
- Coordinate and quality assure the flow of correspondence in and out of the Deputy Director-General’s office including “bring-ups” and tracking to ensure deadlines are met.
- Identify emerging issues and trends within the department which may impact the office, clients, the community and/or the department and escalate concerns to the Manager as appropriate.
- Consult and negotiate with executive management and senior officers from other agencies, private or community organisations to resolve any matters as requested by the Deputy Director-General or Manager while maintaining effective working relationships.
- Organise travel arrangements including the planning of itineraries, travel bookings, accommodation and preparation of expense claims.
- Monitor and screen incoming telephone calls to the Deputy Director-General and assist with or redirect enquiries where appropriate.
- Arrange for the purchase of stationery, consumables and equipment when required.
- Undertake projects as assigned from within the Office of the Deputy Director-General.
- Provide administrative support to the manager as required
