From weddings and social gatherings to corporate functions, we pride ourselves on delivering seamless and memorable experiences for our clients and guests. We are looking for an experienced and enthusiastic Event Administrator to join our team and help bring these events to life.
**The Role**:
The Event Administrator is a vital role within the ICC Group, as the primary support for sales consultants and event coordinators. The Event Administrator acts as a crucial link between the sales team and the client, offering meticulous support with generating client proposals, invoices, and internal event briefs.
In a fast-paced environment, attention to detail, clear communication and exceptional administration skills are essential to driving success in this role, all while ensuring each event is executed to the highest standards.
**Key Responsibilities**:
- Take direction from the sales team to prepare detailed proposals for client inquiries.
- Collaborate with the events team to ensure comprehensive event preparation and execution.
- General CRM administration tasks to ensure seamless and accurate reporting.
- Ensuring internal databases are updated consistently, in particular client details and event requirements.
- Resolve last-minute changes, issues, or requests efficiently.
- Handle client contracts, invoices, and payments related to bookings with strong attention to detail.
- Participate in regular team meetings and training sessions to stay informed and engaged.
- Support department reporting, and general administrative tasks such as: answering phone calls, managing bookings, reporting and invoicing to ensure efficient event operations.
- Actively promote special offers and marketing promotions to clients, contributing to event marketing initiatives.
**We are seeking someone with**:
- Minimum 2 years’ experience in an administrative role.
- Strong attention to detail and exceptional organisation skills.
- Great time management skills and ability to multitask.
- Demonstrate a passion for delivering excellence in a team environment.
- Proven ability to work effectively under strict deadlines.
- Experience with Tripleseat and Visio/Event Draw is preferred.
- Responsible Service of Alcohol (RSA) certificate is preferred.
- Responsible Conduct of Gaming (RCG) certificate is preferred.
- Proven track record of successfully working within a team environment, illustrating the ability to collaborate seamlessly and contribute constructively to the team's goals.
