**What are we looking for?**

An opportunity is now available for an experienced Executive Assistant to join our Head Office in Melbourne to support the Chief Executive Officer (CEO).

In this role, you will provide high-level administrative and strategic support to the CEO, including diary management, meeting coordination, and information oversight. Operating in a fast-paced environment, you will require strong foresight, critical thinking, and a proactive approach to problem-solving, always with professionalism, confidentiality and discretion. Success in this role hinges on exceptional communication, operational excellence, and the ability to build trusted relationships across a broad range of stakeholders.

Day to day responsibilities will include (but not limited to):

- Management of the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements, ensuring optimal time management and prioritisation.
- Preparation, editing, and proofreading of high-quality correspondence, reports, presentations, and other documents on behalf of the CEO.
- Serve as the primary point of contact for internal and external communications directed to the CEO, handling enquiries with professionalism and discretion.
- Coordinate and facilitate meetings, including agenda preparation, minute-taking, follow-up on action items, and logistics.
- Anticipate the CEO’s needs and proactively resolve issues to minimise disruptions and maximise productivity.
- Organise and maintain confidential files and records, ensuring easy accessibility and information security.
- Assist in managing special projects and initiatives, collaborating with cross-functional teams as needed.
- Handle sensitive information with utmost confidentiality and exercise sound judgment in decision-making.
- Support the CEO in preparing for board meetings, executive presentations, and public engagements.
- Continuously identify opportunities to improve administrative processes and communication flows.
- Assist with planning major organisational events, such as annual conferences.

**What will you bring?**

To be successful in this position, the following skills, experience and qualifications will be required:

- Relevant qualifications in business administration, communications or related filed.
- Proven experience as an Executive Assistant or similar role supporting C-level executives.
- Exceptional verbal and written communication skills; ability to draft clear, concise, and professional documents.
- Highly organised with strong attention to detail and excellent time management skills.
- Proactive mindset with the ability to anticipate needs and solve problems independently.
- Discretion and integrity in handling confidential information.
- Strong interpersonal skills and the ability to work collaboratively across all levels of the organisation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
- Ability to work under pressure and manage multiple priorities simultaneously.
