
Student and Academic Services Officer

**About the role**
The Student and Academic Services Officer is responsible for providing high quality administrative and services support within the College/Campus across a broad range of academic and student services and administrative functions.
**30 hrs per week (5 days)**
**General Administrative management and support**
- Assist with managing the diaries of academic and support staff including scheduling student appointments
- Assist with facilities management (as appropriate)
- Manage timetabling, invigilation, quality control and conduct of examinations
- Conduct system testing prior to enrolment
- Maintain accuracy of student records and cleanse data for regulatory reporting
- Coordinate appointment and management processes of casual teaching staff
- Assist in the coordination of university approval processes for teaching staff
- Assist in the coordination of pay variations for casual staff
- Provide English Language Testing Centre support (as appropriate)
**Student progression and records management**
- Coordinate enrolment/re-enrolment and associated activities
- Coordinate student progression, completion and transition processing
- Manage administration and reporting of student and graduate satisfaction surveys and course and teaching evaluations
- Process results, changes to grades, exclusions, probation, awards, merit scholarships
- Process requests for enrolment variations, deferral, withdrawal in accordance with policies
- Process students’ variations to enrolment and maintain accuracy of Confirmation of Enrolments (CoEs)
- Undertake data cleansing processes and associated regulatory reporting
- Coordinate the planning of graduation ceremonies
**Staff/Student support**
- Process student requests for replacement documentation
- Assist with ordering and supply of texts and recommended readings on booklist
- Coordinate moderation and benchmarking processes across nominated programs with internal and external stakeholders
- Assist teaching staff with invigilation
- Assist with annual course reviews, student and course evaluation processes
- Provide advice to students relating to programs/courses, academic policies and procedures, program progression, miscellaneous study, transition to University and other student academic matters
- Provide administrative and secretarial support to various academic and student committees
- Develop and maintain strong and effective relationships with the casual academic staff
- Assist with College/Campus Orientation, Graduation and student experience activities
- Provide advice to students relating to College/Campus policies and procedures, program progression, transition to University and other student administrative related issues
- Undertake student monitoring duties including retention and performance calls
**Qualifications and Selection Criteria**
- Demonstrated ability to meet deadlines and deal with competing priorities
- Excellent attention to detail, including proofreading and editing skills
- Demonstrated ability to relate well to students and professionals
- Ability to independently resolve routine problems and issues
- Sense of responsibility and commitment to education
- IT literacy (e.g. student information system or database, or customer relationship management systems) and experience
- Excellent communication skills
- Degree or equivalent (preferred)
- Work experience in higher education sector, preferably in a commercial setting
