**Day to day**:
We are looking for a Receptionist/Administration Assistant to manage our front desk and to perform a variety of administration tasks. Being the first point of contact, you will have a pleasant and helpful attitude and always be
- Greeting visitors and handling incoming calls/directing/resolving as needed
- Receiving deliveries and distributing mail as required
- Document management as required - including filing and archiving
- Act as the primary contact for all matters relating to building facilities and operations
- Manage all elements of the kitchen/meeting rooms and ensure supplies are ordered and stocked
- Manage the distribution and update of building access and security cards
- Lead and manage onsite cleaning and other suppliers required to facilitate office/building requirements
- Proactive approach to the development of best practices with procedures and policies relating to facilities management
- Monitor and order general office supplies, including stationery and First Aid supplies
- Ad hoc admin tasks on request by Management Team
- Ensure that the scanning and filing of operational files is carried out on time
- Monitor contractual services (eg: building maintenance) and outcomes, ensuring all Property and Facilities suppliers provide quality service, remain competitive and fully accountable.
- Budget, invoice and record-keeping of supplies purchased
- Calculate and compare costs for required goods or services through negotiation and choice of suppliers according to needs
- Liaise with Global Facilities for global projects ie. Sustainability and global office guidelines

**Essentials**:
- You will have great attention to detail and a positive and outgoing attitude
- Demonstrated customer service experience and a strong work ethic
- Ideally you will have prior experience in facilities administration including experience of facilities operations, contracts management, health and safety practices in the workplace
- Ability to plan and prioritise effectively, organise tasks and manage competing resources and demands.
- Experience working in a corporate office environment where the client is a tenant
- Experience in meeting client needs within agreed timelines
- Exceptional interpersonal skills and demonstrable ability to build and maintain effective relationships with staff, clients, suppliers and service providers.
- Ability to engage, negotiate and influence to achieve organisational goals.
- Excellent written and verbal skills
