APG is currently seeking an experienced Administrative Coordinator for a 3-month contract within a Leichhardt Government Sector.

**The Role**:

- 3-month contract, possibility of extension
- $39 - $47 Per Hour + superannuation
- Working Hours: 8 hours per day / 40 hours per week
- The Coordinator Media & Communications provides timely, comprehensive quality executive, administrative and related support services to the Associate Director and staff of the office.
- The position supports the administration of systems to ensure accurate and timely data is maintained allowing the prompt ordering issuing and presentation of NSW Ambulance medals, National medals and clasps.

**Key accountabilities**
- Provide advice and support to the Media and Communications activities and projects for NSW Ambulance to ensure effective operation of the business.
- Ensure that all activities are carried out effectively and efficiently. Coordinate correspondence and briefings, ensuring efficient and appropriate handling of all documents, within variable timeframes and ensure compliance with corporate style and format.
- Undertake the ongoing planning, development, evaluation, continuous improvement and standardisation of the Unit’s computerised database/s to assist in distribution of medals. Further the coordinator is to establish administrative systems including those designed for the Awards and Recognition Program, under the guidance of the Advisor Recognition and Protocol.
- Review incoming and outgoing correspondence, refer to relevant parties for appropriate action and maintain tracking of replies to ensure adherence to deadlines.
- Provide efficient administrative and related support to the business unit including processing all invoice and payment of accounts, ensuring expenditure is in budget.
- Respond to queries generated from within Ambulance, external organisations and the general public, referring these for action and following up as appropriate.
- Provide timely, high level executive support to committees including collating and distributing agenda, papers, preparing minutes and liaising with external stakeholder organisation’s to obtain information.
- Support effective implementation of strategic priorities and Performance Framework Outcomescing workload demands to meet conflicting and critical deadlines

**Key knowledge and experience**
- Demonstrated experience in providing a broad range of administrative, secretariat and related support services to senior management.
- Proven self-management and organisational skills with strong attention to detail and demonstrated ability to take personal responsibility for getting things done.
- Sound communication (oral and written), interpersonal and liaison skills and the ability to provide a professional approach in dealing with Executives and other internal and external stakeholders.
- Capacity to work both independently using initiative and self-direction and as a team member to produce consistently high quality work.
- Ability to establish and maintain office systems and processes that are efficient, meet required standards and facilitate the delivery of quality services to internal/external stakeholders.
- Ability to undertake procurement activities including ordering goods and services, preparing invoices and payment of accounts.
- Ability to use initiative and maintain a high degree of confidentiality, discretion and judgement while maintaining a strong customer service approach.
