Are you a motivated and organised professional with a passion for helping children, young people and families? We are looking for a dedicated and detail-oriented Client Services Administrator to join our Pediatric Occupational Therapy Clinic based at Burpengary (Brisbane), Queensland. This multi-faceted role will play a critical role in ensuring smooth clinic operations, delivering excellent client service, and supporting our clinical team in providing outstanding care to children, young people and families.

**Work Location**:Burpengary (Brisbane), Queensland

**Work Hours**: Full-time or part-time availability, Monday to Friday.

**Your Key Responsibilities**:

- Serve as the first point of contact for families, managing client intake, inquiries and ensuring a welcoming, child-friendly clinic environment.
- Coordinate and optimise appointment schedules for therapists, confirm bookings and minimise wait times for clients.
- Issue invoices, check and process payments, manage Medicare/NDIS/private health insurance claims and address billing enquiries.
- Maintain accurate client records, prepare clinic materials, and perform general office duties to support a paperless and efficient operation.
- Ensure compliance with privacy, health, and safety regulations, maintain secure client records and generate operational reports.
- Facilitate seamless communication among therapists, Clinic staff and external providers to support client care.
- Oversee inventory, plan and order supplies and manage the Clinic’s day-to-day operations.

**You must have**:

- Citizenship/Permanent Residency/Austrlian Work Visa
- Valid Photo ID issued by Australian Government agency.
- Valid National Police Check or Willingness to get one.
- Valid First AID and CPR or Willingness to get one.
- Valid Immunisation/Vaccination Certificates or Medical Exemption.
- Excellent written and spoken communication skills.
- Excellent computer skills with proficiency in software such as Microsoft Word, Excel, Outlook, PowerPoint.

**Your qualifications and skills**:

- Cert 4 in Business Administration or similar qualification or relevant Admin Work experience.
- A Minimum of 1 year of work experience in medical/healthcare administration, ideally in allied health.
- Attention to detail, flexibility to adapt, learn and work with management to help with smooth running of Clinic’s operations.
- Strong organisational with attention to detail and accuracy multitasking and excellent communication skills.
- A friendly and professional attitude with a focus on client satisfaction.
- Desirable - Knowledge of Medicare, NDIS and private health insurance systems.
- Desirable - Experience working with a CRM i.e., Patient/Customer Management System.

Pay: From $65,000.00 per year

Expected hours: 16 - 40 per week

Schedule:

- Monday to Friday
- No weekends

- Burpengary, QLD 4505: Reliably commute or planning to relocate before starting work (required)

**Education**:

- Certificate I - IV (preferred)

**Experience**:

- Medical administration: 1 year (preferred)

Work Authorisation:

- Australia (required)
