We are seeking an experienced Office Administrator for our Melbourne office to provide comprehensive project support to senior management team members. This role can be fully remote for a period of time but a Hybrid approach is promoted.
**Responsibilities for this role;**
- Ensure efficient running of the reception, office and facilities including phone calls and organising deliveries
- Invoicing Tasks to include raising PO’s
- Prepare and generate monthly reports, generate invoices and assist with tender preparation
- Assist with client administration
- Assist and respond to clients requests for information online and over the phone
- Assist with administration and maintenance of company assets
- Update and manage CRM systems
- Ordering and maintaining Office and Survey supplies
- Co-ordination of events including but not limited to; meetings, client and employee functions, attendance at trade shows, company travel
- Assist with Company Insurances Administration
- Adhere to all company policies, procedures and business ethics codes and ensure that they are communicated and implemented within the team.
- Committed to safe work practices and is willing to embrace and engage with the company’s OHSE policies and safety management system
- Attend meetings, management and employee meetings.
**Requirements for this role;**
- 2+ years working in an Administrative or Personal Assistant role
- Experience as an Accounts Assistant is preferred
- Certificate IV or higher in a Business Administration related discipline or relevant practical experience (Netsuite and SharePoint experience advantageous)
- Exceptional customer service by maintaining and enhancing relations with internal and external customers
- The ability to effectively set priorities, multitask, meet deadlines, adapt when last minute changes are required and good organisational skills and good attention to detail
- Advanced skills in Word and Excel, Basic PowerPoint, Outlook and Office365 software packages
- Capable to build strong team relationships, work effectively in team environment and maintaining sound co-worker relationships
- Professional phone manner and Proven professional attitude in processing sensitive and confidential information
- Positive attitude, self-motivated and able to work effectively independently
- Willing to assist and recommend improving administrative processes within the business
