We are currently recruiting for Customer Service and Administration Officer to assist our client based in Belmont location with previous work experience in local government with immediate start.
**About the Role**:
- Ensure people are given a high level of customer service by achieving the following:
- Answering all counter and telephone enquiries politely, efficiently, and promptly.
- Quickly ascertaining whether assistance from a Technical Officer is required, to minimise disruption for routine enquiries.
- Reading all reports and documents provided for the public by the Council, including Council Minutes.
- Maintaining adequate stocks of all indexed information.
- Liaising with appropriate representatives of all the Divisions of Council to maintain an up-to-date knowledge of various Council activities.
- Assist in ensuring the efficient and effective referencing, display and storage of information and that information available to customers is up-to-date and accurate.
- Switchboard - Answer all incoming telephone inquiries and ensure the customer is redirected to the most appropriate staff member.
- Undertake a range of administrative duties for Development & Communities, including but not limited to;
- Undertake typing and processing of various reports, memorandums, correspondence.
- Assist in registering and controlling inward and outward correspondence in ECM and Pathway including assisting to develop templates, generating and distributing customer requests and undertaking searches.
- Assist in organising and maintaining Justices of the Peace contacts and rosters.
- Transmit and receipt all facsimiles for Council, maintaining facsimile records, statistical data on outgoing faxes and reconcile the Fax Activity Report.
- Prepare and register information packages for distribution to new residents on a monthly basis.
- Using the Finance One system, assist with applicable orders and requisitions.
- Assist in developing, reviewing and updating the sections policies, procedures and work instructions, monitoring workflow and conducting evaluations of work practices
**About You**:
- Minimum 2- 3 years of previous relevant local government experience, within front-line customer service, Planning, Building or Health Services Department and experience operating a Switchboard
- Excellent interpersonal, negotiation and conflict resolution skills, with the ability to communicate with a wide range of people and groups to ensure delivery of a high level of customer service.
- Good organisational and administrative skills, with ability to effectively prioritise multiple tasks to meet strict deadlines and complete tasks with a high level of accuracy.
- Sound research background, written communication skills and good problem solving skills with the ability to exercise initiative and good judgement.
