An Officer in the National Queue (NatQ) is responsible for overseeing the end to end processing of Digitised mail, classification and checking of subsequent IT processes. The core function is ensuring the departments IT system routing is correct, thus the role requires high level attention to detail as well as stakeholder management skills.
The role is integral to the operation of the digitised mail process and will involve monitoring of IT systems, help desk function, liaison with internal and external stakeholders. There is heavy use of complex excel spreadsheets for daily operations, QA and the weekly reporting so proficient use of Excel is a must.
The successful applicants will also need to possess a high level of written communications as performing IT releases in conjunction with other government departments and negotiation of testing and implementation, including maintaining documentation and decisions is all part of this role. There is also an element of training and maintaining process guides.
A good understanding of the importance of Records Management and its role in government is essential.
**Duties**
- Ensure Mail is processed and classified correctly according to IT Rules
- Gain an advanced knowledge of the end to end IT system (Process Direct and Master Mail Rules) to enable the ability to offer relevant solutions to IT issues and workarounds
- High attention to detail is required for reconciling Mail related issues
- Suggest innovations and solutions to IT issues within the realm of the current IT system constraints
- Understand DVA’s thesaurus for file creation in a records management sense
- Manage and implement IT releases with stakeholders - a high level of Excel usage and knowledge is required
- Perform training to new staff, explain processes and procedures to stakeholders
- Quality Assurance checking of Digital Mail
- Some handling of physical mail including return to sender mail

A merit pool of suitable applicants may be created which may be used to fill future ongoing and non-ongoing vacancies should they become available over the next 18 months.
Where a non-ongoing position is offered, the role will be filled for a specified term of up to 18 months. A specified term may be extended up to a maximum period of 3 years.
