DarkLab is seeking an experienced Office Manager, to provide support to all teams at DarkLab. This includes making recommendations and identifying opportunities for process improvement, and ensuring the successful delivery of the Festival program, with a particular focus on administration, systems, and project delivery. Outside of the Festival period, this role has accountability for managing the office day to day, including office layout, staff onboarding, coordinating products and services, and team events.

**The Gig**:
- Review, develop, and implement efficient administration systems and processes for the festival.- Create and monitor detailed timelines and tracking documents across all Dark Mofo and DarkLab teams.- Develop and maintain scheduling systems (e.g., Propared) and assist project teams with correct data input.- Schedule and manage associated documentation for all team meetings, including agendas and minutes.- Oversee the development of training manuals and processes for staff induction.- Serve as the central liaison to ensure open and clear communication channels are maintained between all departments.- Assist the Executive team with invoice processing and support project staff with budget tracking and expenditure management.- Handle general office management, including monitoring communication channels, maintaining organization, and resolving staff tech queries in liaison with IT.- Manage HR and logistics, including inducting new staff, maintaining internal documentation, making travel bookings, and ordering/managing office supplies and storerooms.- Coordinate the procurement and distribution of accreditation for staff, artists, and crew, as well as festival uniforms.

**The You**- Exceptional written and verbal communication skills with a high degree of attention to detail.- Strong working knowledge of Microsoft Office programs, particularly Excel.-
- Proven experience working with events and festivals.- The ability to plan and manage timelines efficiently and coordinate numerous projects simultaneously.- Strong interpersonal skills and the sensitivity required to handle confidential information.- A collaborative and flexible approach to both problem-solving and information sharing.- A solid work ethic with the ability to work flexible hours as required.- A personal style that is organised, efficient, and calm under pressure.- Proficiency with event scheduling software (e.g., Propared) is highly desirable.
