**What this opportunity involves**:
We are looking for a personable and professional Operations & Administration Assistant to join JLL. This varied and busy position will provide administrative support for the Retail & Commercial centre, working closely with the Centre Manager, Marketing Manager and Operations team.
**Snapshot of the role**:
General office operations including reception duties, taking incoming calls, face to face enquiries from tenants or customers, processing incoming/outgoing mail items and courier bookings, and directing and delegating enquiries to the appropriate personnel where necessary.
Tidy and maintain office, meeting rooms and kitchen.
Maintain and update tenant and contractor records and files, including public liability details, tenant files, leases, bank guarantees, contracts and correspondence.
First point of contact for all tenant administration enquires, performing reconciliations if necessary.
Accounts Payable processing invoices including capital expense/contributions for fit outs.
Manage tenant recoverable charges and reconcile if required.
Assist the Marketing Manager with preparation of Centre promotions and activities, collection and input of monthly sales data.
Assist the Operations team with general operational duties, eg: contractor CM3 compliance.
Raising and review of Purchase Orders monthly with Operations team, following up any outstanding invoices or issues.
Report all operational complaints to the team, keeping record and follow up resolution, if required.
Provide friendly assistance to tenants, the landlord, customers and colleagues to build positive relationships with the Centre Management team and all stakeholders.
You’ll be a whizz at coordination and planning and bring your strong ‘Customer Service A-Game’ to JLL. You will be calm, organised and a real team player. This role requires someone to be well presented & well spoken, and able to easily build good rapport with stakeholders of all levels.
You will be experienced in administration and accounts with the ability to work independently while seeing where your role fits within the larger business. Having an understanding of the shopping centre management environment would be advantageous.
