**Job Profile**
The Procurement Support person is responsible for providing support to the analyst team, interacting with analysts, Meter Providers, BDM’s, internal staff and clients in a timely and efficient manner.
The role is responsible in supporting the analyst team in the organising, management, tendering and lodgement of all client details, retail and metering contracts. Ensuring that information is processed, and protocols are followed to meet the time critical execution of contractual documentation and updating systems accurately. Engaging with team members to ensure procedures and system controls are adhered to, to ensure all contracts are secured and accepted. Providing management with updates and reports on a daily and weekly basis.
The role requires the management of tasks and relationships with staff, clients and service providers, to ensure that information and support is provided in a timely manner. To ensure processes and support systems are adhered to.
The role is responsible for ensuring that we provide a professional and effective service to our clients and energy retailers in an honest and effective manner. At all times act in the company’s best interests.
**Key Success Criteria**
- Accurate assessment of client, meter and energy retailer’s needs.
- Attention to detail when providing information to clients and retailers.
- Providing help and assistance with the execution and presentation of contracts/reports to clients.
- Day to day management of client information, data and contract requirements.
- Contribute to an effective working relationship between sales, retailers and other Eutility staff.
- Assistance in development of effective client relationships.
- Providing client account management.
- Effective communication with Eutility staff.
**Role in the business process**
Key business responsibilities:
- Provide effective support to the procurement section
- Develop and support relationships with energy retailers, metering providers and staff
- Liaise with retailers and meter providers
- Provide information as required
- Facilitate the account management of Eutility systems
- Be knowledgeable about Eutility products and services
- Be effective and accurate in delivery of information
- Ensure A2 is kept up to date
- Maintain databases
- Reporting to Procurement and Contract Leader
Data and Contract Management:
- Ensure client details are correct
- Update systems quickly and accurately
- Obtaining and uploading data into A2
- Liaise with Eutility staff and suppliers
- Keep team updated on process and outcomes
- Ensure information is prepared correctly and in a timely fashion
- Coordinate communication between BDM’s, analysts and suppliers as necessary
- Submit contracts to retailers and meter providers
- Ensure clients have correct agreements and documents
- Ensure retailers and meter providers receive completed documents
Task Management:
- Ensure all tasks are carried out completed and delivered as required
- Ensure documentation and formal processes are adhered to
- Ensure all contract information is updated in A2
- Work with team to complete all tasks effectively and efficiently
Communication:
- Be a point of contact for BDM’s and suppliers
- Ensure interested parties are kept up to date with tendering and publishing of tenders
- Keep Team informed of data and information status
- Present written communications clearly and concisely
- Provide necessary support for client onboarding and account set up
Decision making:
- Makes decisions in consultation with analyst, retailers, BDMs and in line with team and company objectives
- Appropriately respond to client enquiries
Experience and Skills:
- Proven track record of similar role would be useful
