**About the Role**

As an **Office administrator**, you will play a key role in ensuring the smooth day-to-day operations of Colourful Minds. You will provide essential administrative support to our behaviour therapists, coordinate client appointments, liaise with families and schools, manage office tasks, and contribute to the overall efficiency of our organisation. Your role will be crucial in maintaining clear communication, streamlining processes, and supporting both our team and the families we work with.

This is a flexible position starting at **three days per week**, with opportunities to expand.

**Your Responsibilities**
- **Support Behaviour Therapists** - Assist with bookings, manage inquiries, and coordinate therapist schedules to ensure seamless service delivery.
- **Liaise with Schools & Families** - Secure client appointments, prepare necessary documentation, and maintain strong communication with all stakeholders.
- **Client Communication & Support** - Answer phone calls, respond to general inquiries, and professionally handle complaints and feedback to ensure a positive client experience.
- **Social Media & Online Presence** - Maintain and update Colourful Minds' social media platforms, sharing relevant content to engage our community.
- **Administrative & Office Support** - Order office supplies, manage correspondence, and assist in preparing team meetings, workshops, and training sessions, including writing meeting minutes.
- **Staff Rostering & Scheduling** - Develop and manage therapist schedules while ensuring alignment with business needs, employee availability, and compliance with company policies and labour laws.
- **Billing & Invoicing** - Assist with NDIS funding claims, process invoices, and ensure timely payments.
- **Office Management** - Organise files, maintain office supplies, and oversee day-to-day administrative tasks to support a well-functioning work environment.

**What You’ll Need**

✔ **Relevant Qualifications** - A degree in a relevant field (e.g., Business Administration, Allied Health, or a related discipline) is preferred.

✔ **Passion for Supporting Children & Families** - A strong commitment to making a positive impact in the lives of neurodivergent individuals.

✔ **Compliance & Clearances** - A valid Working With Children Check, Police Check, and NDIS Worker Clearance.

✔ **Driver’s License & Personal Vehicle** - Required for occasional in-person team meetings (held monthly).

✔ **Availability** - Minimum commitment of three days per week. Preferrable Monday, Tuesday, Thursday/Friday.

✔ **Strong Interpersonal & Communication Skills** - Ability to engage with families, therapists, and stakeholders professionally and empathetically.
