**About the Branch**
The Operations Branch is the manufacturing arm of the Mint. It is an operationally focused, multi-disciplinary team, responsible for the manufacture of both Australian and foreign circulating coin, collectable coins, and tooling to support those production requirements. The branch covers, coin manufacture, die preparation, blank preparation, electro plating and chemical processing, tooling and machining services, planning and packing.
In addition to meeting production targets, the branch has a strong focus on safety, continuous improvement, and quality. The Operations branch is currently embarking on a large program of uplift initiatives, providing a great opportunity for enthusiastic leaders to contribute to meaningful change and development.
**About the Role**
The Service Delivery Officer is a dynamic support position within the Operations branch. This role provides secretariat and administrative support across the branch to facilitate meetings with internal and external stakeholders, and is responsible for the coordination, drafting and review of agendas, meeting papers and minutes, and other administrative duties as required. They are responsible for undertaking research, collating and analysing data, and drafting submissions and briefs to support the day-to-day functions of the Operations branch. This position will lead small continuous improvement projects, and support more complex project work in the Operations Branch.
As a secondary responsibility, the Service Delivery Officer may provide executive support to the Executive Manager, Operations including managing diaries and meetings, monitoring incoming phone calls and providing general administrative assistance.
The duties of this position include:
1. Updating and maintaining records and databases including the Mint’s record keeping system, ERP and MRP.
2. Liaising with internal and external stakeholders at all levels to build and maintain strong relationships.
3. Undertaking research to support Branch project initiatives, and collating and analysing data to draft reports, submissions and briefs.
4. Assisting with branch procurement activities in accordance with the Commonwealth Procurement Rules, including drafting contract paperwork, undertaking risk assessments, preparing submissions and complying with the PGPA Act for financial delegations.
5. Providing secretariat and executive administrative support for the Senior Manager and Operations branch, including but not limited to coordinating, drafting and reviewing meeting papers, drafting meeting agendas, minute taking, and managing associated correspondence.
6. Managing small projects and providing support to the Operations Project team. This includes drafting and monitoring project plans, supporting and/or facilitating project completion and reporting on outcomes.
7. Providing financial management support through raising purchase orders, processing invoices in the ERP system, coordinating quotations and assisting with project budget preparation.
**Security clearance**
This position requires a Baseline security clearance. The successful applicant will be required to obtain and maintain a clearance at this level.
