The primary purpose of this role is to provide high level support to senior leadership across this team. Under the guidance of your manager, you will provide administrative support to the wider Business Advisory teams with the aim of contributing to the efficient delivery of excellent client services. Your role will include a range of PA/administrative support tasks and some direct liaison with clients. **Primary Duties** - Represent Vincents in a manner consistent with our values: how we want to be perceived and what makes us stand out from our competitors - Set priorities for tasks based on relative importance and urgency - Constantly strive to improve the quality of service provision and reduce turnaround time where possible - Build strong working relationships with clients, our Canberra-based team and the firm as a whole - Assist with fee preparation - Contribute to the integrity of information held on the firm’s client database (APS) and document management system (HowNow) - Assist with the management of incoming/outgoing mail - Assist with reception/front of house duties and liaise with clients as required from time to time - Assist with preparation of client tax and external audit collations - Processing of new clients (e.g. updating APS, electronic file creation, assisting with the preparation of ethical/engagement letters, etc) - Processing of clients who have left Vincents (e.g. updating APS, assisting with ethical letter requests, return of records, etc) - Assist BA accountants by accessing information via the Australian Tax Office (ATO) portal (e.g. checking tax lodgement status, changing addresses, downloading prefill reports and other workpapers, etc) - Assist with management of physical tax and audit client records - Assist accountants and auditors with scanning of client files as required - Assist with bank audit confirmation processes - Assisting with formatting and proofing of tenders and proposals in accordance with the firms approved style guide **Computer Programs used in this role**: - Microsoft Office Suite - APS - HowNow **Qualifications, Experience & Skills** - Previous administration experience in a professional services environment is highly desirable - Ability to use information technology and systems to help ensure efficient work practices **Key Personal Attributes** - Excellent organisational and time management skills - Strong written and verbal communication skills - Friendly disposition and professional manner - Demonstrated ability to work effectively as part of a multidisciplinary team - Ability to work independently and manage multiple tasks and competing deadlines - Self-accountability in relation to ensuring that tasks are completed on time and to a high standard - High attention to detail **Our Firm** Vincents is a multi-award winning, full service firm employing 230+ people across four offices.
