The Scheduling Master plays a key role within UNSW IT and the IT PPMO standardizing the planning approach for all projects and creating visibility and tracking of key portfolio milestones and dependencies for IT and the business. The role entails establishing scheduling standards, working with project managers to improve the consistency and accuracy of project plans and the development and maintenance of a master schedule that will enable tracking of key milestones and dependencies across the IT portfolio. The master scheduler role will provide valuable insight into the prioritisation and sequencing of the IT portfolio and improve the quality of business cases and financial planning outcomes. The role reports to the Head of Portfolio and Projects.

**Accountabilities**:

- Work with portfolio and project managers to develop, review and analyse individual project plans to create a Master Schedule for the IT portfolio that also supports dependency management; ensure currency and scope changes and slippages are reflected back into all schedules.
- Monitor and report monthly to the IT Executive on portfolio and project progress, including the mapping of critical dependencies; identify problems and propose possible solutions; take a proactive approach to collaboration and information sharing across IT and wider UNSW.
- Establish scheduling standards and perform regular health checks to ensure robust project schedules for all projects.
- Ensure data alignment across project schedules, the Master Schedule and UNSWs enterprise project management toolset, Altus; in liaison with the EPMO, contribute to the ongoing uplift and development of the scheduling function within Altus.
- Coordinate within the IT PPMO team to ensure project schedules and progress aligns with project forecast and reported status throughout the delivery life cycle.
- Perform independent or collaborative schedule risk assessments using multiple techniques (such as Monte Carlo simulation) to identify possible outcomes and management actions.
- Oversee the IT portfolio demand management function, supporting prioritisation and implementation decisions; work with the IT practice resource management to facilitate portfolio demand capacity constraints and resolutions.
- Oversee and support adherence to UNSW governance pathways to ensure projects are managed within a defined, consistent, and proven set of rules for project development and implementation; introduce implement and evaluate continuous improvement processes.
- Oversee and finalise effective communications with key stakeholders, both internal and external to the project Plan and provide influential input with stakeholders to achieve project outcomes.

**Skills and Experience**:

- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Minimum of 5 years relevant experience including demonstrated experience as a Master Scheduler for a large, complex program or portfolio.
- Advanced knowledge of MS Project, with the ability to define critical path, slack, Schedule Performance Index (SPI).
- Proven experience, with an in-depth understanding, of the project life cycle and strategic development of project plans, objectives and documentation.
- Sound interpersonal and communication skills, and proven ability to engage effectively with diverse stakeholders to achieve successful outcomes.
- Demonstrated analytical and problem-solving skills and proven capacity to exercise initiative, flexibility and to be proactive in development of solutions to problems.
- Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- Well-developed time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
