**Who we are**
The Compliance and Enforcement Division (CED, the division) within the Biosecurity and Compliance Group delivers regulatory outcomes that protect Australia from risks to our biosecurity and trade systems. Informed by both science and intelligence we set controls and deliver assurance activities to increase compliance with legislation; and respond appropriately and proportionately to any breaches. We work with internal and external stakeholders across the regulatory continuum responding to known and emerging risks to safeguard Australia’s agriculture, economy, trade and way of life.
The Divisional Coordination team is the central coordinating point for the division. The team provides the division with a streamlined and coordinated response approach to the numerous Ministerial, Parliamentary and Corporate activities and reporting requests, which enable delivery of divisional and departmental strategic objectives
**The Job**
Duties of the Assistant Director - Divisional Coordination include, but are not limited to:
- Leading and developing a small team to manage coordination-related activities to support and promote the success of the division.
- Coordinating and managing incoming requests, assessing priorities and setting workflows, to ensure responses meet quality standards and deadlines.
- Identifying risks and uncertainties, anticipating needs and expectations of stakeholders, tailoring communication to differing audiences to provide guidance and mitigation strategies for coordination activities.
- Acting as the CED Parliamentary Document Management System (PDMS) Unit Coordinator and assigning, tracking and engaging with internal and external stakeholders (such as the Minister’s Office) to ensure efficacious delivery of tasks to the highest quality standards, including Question Time Briefs; responses to Parliamentary questions on notice; and Ministerial and Executive Correspondence.
- Coordinating CED’s Senate Estimates preparation and post-Estimates activity, which involves acting as the divisional point of contact for logistics and arrangements; drafting, coordinating, reviewing and facilitating clearances of briefing and supporting material, responses to questions on notice, corrections to Hansard transcripts; and scheduling and actively guiding other preparatory activities to support the SES.
- Coordinating divisional and, where required, group submission input into corporate reporting requirements including the departmental annual report and related annual performance statement reporting obligations.
- Cultivating relationships with key stakeholders across the department for the benefit of the division and the broader Biosecurity and Compliance Group.
- Developing and implementing best practice administrative systems, processes and procedures to optimise efficiency and support the achievement of quality outcomes for the division.
- Working collaboratively with the First Assistant Secretary’s (FAS) Office and the CED Branch Assistant Secretaries’ Offices to ensure high-quality, proficient and successful delivery of the FAS, CED and departmental requirements and outcomes.
- Supporting the broader section through delivery of projects for the benefit and advancement of the division.
**Please note** the merit pool established through this selection process, is valid for a period of eighteen months from the date the vacancy was advertised in the Gazette and may be used to fill future Assistant Director positions.
