**About this opportunity**:
Office Coordination
Meeting management including meeting and greeting clients, meeting room set-ups
Maintenance of the various office calendars and booking processes
Manage the ordering and implementation of all stationary, kitchen and bathroom requirements.
Manage in-bound and out-bound post and couriers
Managing all third-party vendors that support our office
Administrative Responsibilities
Invoice lodging and recording via Concur
Coordinating and making bookings for travel and accommodation for executive team
PA duties to the Executive Team, including confidential projects
Create and/or support with the documentation of new workflows and procedures as required to support the running of the office, better record-keeping and department productivity
Assisting the management team with general administrative aspects as required, including project support
Events & Employee Experience
Support HR with the organisation of monthly birthday celebrations and team culture initiatives, including end of year celebration and various conferences
Support HR in recruitment tasks such as reference checks and head hunting
Complete office tours and welcome days for new employees
Support to Trade Operations to record keep, take and deliver product for the employee pre-order program
Ad-hoc support in designing and coordinating consumer event initiatives as directed
**You will bring**:
Ability to liaise across the full spectrum of administrative services and relate positively to a wide range of people.
Extensive working and written knowledge of the Aje brand history, ethos and aesthetic.
Advanced Microsoft Office and Google Suite skills, with the ability to become familiar with Aje specific programs and software
Capacity to work in a multi-project environment and have strong administrative, organisation and time-management skills, with high-level organisational management skills, effectively manage competing priorities.
Accuracy, efficiency, ownership, and passion in all allocated tasks; A willingness to complete all tasks given
**Stakeholder Management**: a positive track record in working closely and positively with team members at all levels.
Mindfulness of repercussions of missed deadlines and opportunities
Ability to work autonomously
