Our opportunity
As Personal Assistant to General Manager, Portfolio Management - Office & Industrial, you will provide professional and comprehensive administrative support to the General Manager, Portfolio Management - Office & Industrial and their wider team to ensure the seamless success of the business and strategy, while maintaining a positive and approachable manner.
This role is a 14-month fixed term contract.
**In this role you will be responsible for**:
Efficiently manage GMs inbox and diary
Adhere to deadlines with general administrative tasks including travel co-ordination, expense processing and invoice processing
Act as a liaison for GM and maintain an approachable, professional and helpful attitude
Manage and co-ordinate staff events, conferences, training days and projects as required
Co-ordinate team meetings, prepare and distribute agendas including organising agenda items
Drive culture to encourage and enable team collaboration and integration in order to continue to achieve high employee engagement results
Exercise good judgement and make decisions on GM’s behalf where required
Proactively assist with administration requirements for the wider Asset Management team
Prepare, collate and distribute monthly reports, presentations, newsletters as required
Drive improvements to maximise efficiency of administration processes and assist with maintaining appropriate systems and procedures
Work closely and cohesively with the other assistants in Asset Management and also wider Mirvac Assistants
Assist with induction of new staff or exiting staff where appropriate
Interact internally and externally in a professional and effective manner
Assist with submitting Online IT Forms for O&I staff where applicable
Complete tasks accurately, on time and to a consistently high standard
Assist with any projects, or undertake additional duties as reasonable required
