About the role
We're seeking a forward thinking & agile Executive assistant to provide executive administrative & secretarial support to Ventia's Group Executive, P&C & Safety. This is a dynamic, fast paced role that offers variety in your day to day. We are seeking a self-starter who thrives on autonomy, problem solving and has the flexibility to handle tasks beyond the typical EA role.

This role will be based at Ventia head office in Cremorne, VIC offering hybrid working conditions. This is a permanent role which can be full time or part time 4 days

**Duties**:
As a busy & travelling GE your day-to-day support will be in travel, diary & inbox management as well as:

- Arrange and coordinate group executive meetings, including preparing agendas, gathering and distributing relevant materials, and documenting minutes.
- Coordinate all aspects of domestic and international travel, including booking flights, accommodations, ground transportation, and managing travel itineraries.
- Assist in organising and coordinating group executive-level events, such as conferences, seminars, and company functions in person and online. Manage logistics, invitations, and oversee event execution.
- Organise and maintain confidential files, documents, and records. Conduct research, compile data, and prepare reports as required. Ensure information is readily accessible when needed.
- Track, monitor, and reconcile expense reports.
- If requested, support the group executive's team (eg/ general team office operations by ordering supplies, maintaining equipment, and coordinating facilities management requirements).

About You

You will be a self-starter who is agile in their work approach as well as:

- Have proven experience as an Executive assistant, supporting Group Executives.
- Proficient in using productivity tools such as Microsoft Office Suite
- Confident in working with stakeholders of all levels, including C-suite.
- Proactive mindset, anticipating needs and taking initiative to streamline processes and improve efficiency.
- Exceptional attention to detail and accuracy, ensuring all tasks are completed to a high standard.
- Strong problem-solving skills, resourcefulness, and the ability to adapt to changing priorities.
