**About the role**
- Permanent Full-Time.
- Manage a team of 2-3 administration staff.
- Oversee and maintain all administrative functions including HR and rostering.
**About you**
- Minimum two years’ experience in an administrative management role or related field.
- Previous experience gained in a similar role; aged care experience highly regarded but not essential.
- Previous experience in effectively leading and managing a team to meet objectives.
- Previous experience in servicing the needs and demands of a diverse range of internal professionals stakeholders.
- Technologically fluent.
- Rostering experience, ideally with any rostering software such as Human Force.
- Advanced Microsoft Office skills.
- Capable and energetic leader who can get the best out of your team.
- Ability to deliver in a fast-paced environment.
- Details orientated.
- Effective communication skills. If you speak Vietnamese this would be an advantage.
**Minimum Qualifications**
- Nil.
**Key Responsibilities**
- Oversee the management of the administrative support to the business and assist in providing administrative support.
- Oversee the management of the staff roster in coordination with the Administration Officer.
- Manage a small administration team to ensure quality of work and time sensitive work is completed, and that administrative support provided is efficient, effective and conducted in accordance with company policy.
- Provide direction to administration team members including the delegation of tasks.
- Develop and maintain a competent team through recruitment, training and development, coaching and performance management of team members.
- Manage the replacement of staff in accordance with the agreed policy and standard procedure, managing availability, escalating concerns where required.
- Attend weekly meetings with the General Manager.
- Generate reports, memos, letters and other documents for the facility.
- Conduct research and create presentations and reports for board and other committees.
- Answer queries from residents, families, visitors, and staff
- Provide a high level of customer service.
- Maintain confidential staff HR documents and contracts.
- Maintain and update organisation databases and documents.
- Distribute and store correspondence.
- Meet competing deadlines in a fast-paced quickly changing environment.
- Proactively approach problem solving and demonstrate strong decision-making skills.
- Provide leadership to build relationships crucial to the success of the organisation.
- Maintain discretion and confidentiality in relationships with all relevant personnel.
- Other duties as directed.
- Abide by the Code of Conduct.
- Stay up to date with training.
- Any other duties as required.
