**Core Responsibilities**:
**Executive support to General Manager**:

- Coordinate and manage schedules, arrange appointments, travel, meetings, conference calls, events etc.
- Reconcile credit card expenses for GM
- Communicate corporate policies and procedures to local office staffs

**Administration**:

- Office operations including facilities management and ensuring office premises is maintained and collaborating closely with the Building Services Manager
- Implementing procedural changes to improve operational efficiency
- Maintaining Outlook distribution lists and administering access to folders on shared drive
- Leading office related projects (e.g. minors works in the office/office relocation, IT initiatives)
- Covering Reception as and when required - including answering calls and receiving mail/couriers
- Training temp receptionists
- Maintaining onsite and offsite parking allocations
- Handle tenancy access cards and maintaining the access card register

**Employee Forum**:

- Appointed committee member and attending fortnightly meetings.
- Supporting the planning and organisation of employee engagement initiatives for the organisation of annual company conferences and other social events (Easter, Melbourne Cup, Christmas Party)
- Maintaining Employee Forum budget and attending monthly meetings with Senior Finance Manager ANZ

**Information Technology**:

- Ordering of IT equipment for office/staff
- Supervising disposal of e-waste appropriately as per the Global Broker Agreement
- Establishing relationships with key partners (Business Support APAC, Dell, Ricoh)
- Be responsible for Telstra account - regularly audit active accounts, assist plan and international roaming enquiries

**Company Fleet**:

- Providing support to authorised representative for company fleet and all other associated extras (quotations, fuel cards, eTags)
- Collaborating with sgfleet, FleetPlus, IAS
- Updating/renewing insurance policy and claims requests

**Environment, Health & Safety**:

- Appointed local EHS representative for Australia
- Driving initiatives to raise awareness in line with our Planet Promise (Earth Day, Clean Up Australia Day, Waste Management) Human Resources
- Assisting with new employee onboarding and induction process (orientation sessions, welcome morning/afternoon teas)
- Ensuring smooth transition for new employees - purchasing IT equipment (laptop, mobile, etc.), issuing access cards, allocating parking, etc.

The Office Manager & Executive Assistant will ensure that the office and administrative functions of LEGO Australia operate at peak efficiency while continually achieving greater levels of performance and guaranteeing excellent internal and external customer service.

Performs a variety of general administrative functions and executive assistant duties to support General Manager ANZ. Supports general business operations with various general administrative support duties. May handle confidential information.

**Do you have what it takes?**
- Prior experience in an Office Manager role or similar is preferred
- Knowledge of SAP an advantage
- Attention to detail and high level of accuracy
- Judgment and problem solving
- Ability to prioritise, curious about learning, and growth attitude
- Team oriented, possesses good interpersonal and communication skills and able to run projects independently
- Strong project management skills with the ability to set the agenda, coordinate multiple projects and deliver agreed outcomes in timely manner
