- Full-time Ongoing position, 80 hours per fortnight including ADO
- Provide administrative support to Anaesthesia Department and Pain Management
- Based in Parkville, with close transportation links

The **Royal Melbourne Hospital (RMH)** part of the Parkville Precinct and is one of Australia's leading public hospitals, providing a comprehensive range of specialist medical, surgical, and mental health services, as well as rehabilitation, aged care, specialist clinics and community programs.
The Administration Officer supports the Department of Anaesthesia and Pain Management at RMH, working closely with the senior leadership team, medical staff, and hospital departments. This role ensures smooth day-to-day operations through efficient administrative support, calendar coordination, document management, and communication across internal and external stakeholders.

**About the role**:
HS1
- Provide general administrative support for the Department of Anaesthesia and assist in managing calendars for senior staff
- Serve as front-of-house receptionist, ensuring smooth office operations
- Prepare and distribute basic reports and correspondence for the Senior Leadership Team
- Assist with medical staff rostering, leave forms, and payment documentation
- Contribute to process improvements for administrative tasks and efficiency
HS2
- Manage higher-level administrative tasks, including complex calendar coordination and staff database management
- Handle recruitment activities such as processing contracts, contract variations, and assisting with interviews
- Support advanced roster administration, manage payments, and oversee compliance with leave and overtime policies
- Coordinate and manage educational events, preparing reports and handling logistics like catering and invitations
- Develop and maintain sophisticated document management systems, ensuring confidentiality and compliance with training/credentialing
**About you**:
Essential
- Strong customer service, communication, and interpersonal skills, with professional presentation and the ability to liaise effectively at all levels
- Proven administrative experience, attention to detail, and the ability to maintain confidentiality while meeting deadlines
- Strong background in data management
- Ability to work independently and within a team, demonstrating initiative, self-direction, and effective prioritization
- Proficiency in Microsoft Office (Excel, PowerPoint, Teams, Zoom) and the ability to escalate concerns and manage technical tasks
Desirable
- Knowledge of hospital IT systems (EPIC, FMIS and RosterOn)
- Experience in working in a hospital environment
- Knowledge of medical terminology
