**Job Purpose**:
The Logistics Administrator is responsible for entering and maintaining shipping, logistics and warehouse data for Scanlan Theodore, using database software system, AP21 and Excel.
**Job Objectives**:
- Receipt goods into AP21.
- Process invoices and purchase orders.
- Liaise with and support Accounts Department and Digital Team when required.
- Generate Advanced Shipping Notice and create invoices for product orders sent to the USA from international suppliers and Scanlan Theodore warehouse.
- Maintain and update customs data for international shipping into databases.
- Update shipment costings into AP21 upon confirmation of inbound freight charges to ensure accuracy of records.
- Together with the Inventory Coordinator, establish and implement best practices for receipting and allocations.
- Create, maintain and update shipping delivery schedules.
- Record Import Duty for shipments for Duty Drawback claims.
- Maintain stock integrity at head office warehouses, ensuring SOH is accurate; participate in weekly, bi-annual and ad-hoc warehouse stocktakes.
- Investigate transfer errors, maintain stock movement and track toll reports.
- Monitor sales orders and follow processes to clear and ensure all stock is utilized.
- Support and update production team with freight costings, calculations and estimations.
- Track freight and import duty costings based on Freight Forwarder invoices.
- Build and maintain strong relationships with key internal and external stakeholders.
- Support internal departments with logistics-based queries as required.
- Ensure work is performed within the framework of Scanlan Theodore’s policies and procedures and relevant legislative requirements.
- Participate in regular meetings, performance appraisal and training as required.
- 1-2 years of administration experience; within logistics field would be highly regarded.
- Excellent attention to detail.
- Solid time management and organisational skills.
- Strong written and verbal communication skills.
- Ability to work both autonomously and within a team.
- Experience with AP21 or similar retail solutions software.
- Proficiency with Microsoft Office programs.
- Satisfactory completion of safety screening, including a National Police Check, current Drivers License and the right to work in Australia.
