We are seeking a qualified Rostering and Invoicing Officer is responsible for managing staff schedules, ensuring efficient allocation of resources, and maintaining accurate records for invoicing. The role involves liaising with staff and clients to ensure service delivery aligns with organizational and client needs, while adhering to policies and procedures. This role requires a proactive and strategic thinker with a deep understanding of the NDIS landscape and a passion for making a positive impact in the community.

**Key Accountabilities**

**Rostering**:

- Create and maintain accurate staff rosters to meet service requirements.
- Ensure coverage for shifts, managing changes promptly and effectively.
- Liaise with staff regarding availability, leave, and shift preferences.
- Communicate roster changes to staff and clients in a timely manner.

**Invoicing**:

- Generate and process invoices accurately and on time.
- Verify service delivery records against rosters to ensure correct billing.
- Liaise with clients and accounts to resolve invoicing discrepancies.
- Maintain accurate records for audit and reporting purposes.

**General Administration**:

- Maintain up-to-date staff and client records, including contact details and service agreements.
- Assist with onboarding processes, ensuring compliance with policies.
- Support management with reporting and data analysis as required.
- Overseeing the coordination of workforce - managing staff/client rosters, coordinating shifts to accommodate for staff leaves or for urgent client services
- Maintain workforce timesheets - using an in-house client management platform to keep accurate records of staff timesheets including hours worked and distance travelled during shifts for support workers and nurses
- Overseeing effective service delivery - liaising with staff members and clients on a regular basis to ensure optimal service is being delivered, following up on any client or staff concerns, ensuring staff members have adequate access to PPE, ordering necessary equipment and consumable goods for safe and effective service delivery
- Escalate concerns to appropriate staff members in a timely fashion, as required
- Taking phone calls relating to enquiries from present staff or clients or from potential clients or their representatives seeking general information, as necessary
- Assist with quality control maintenance, audit requirements and compliance regulation.

**Budget & Resources Management**:

- Manage the house’s budget, including overseeing expenditures on food, utilities, and other essentials.
- Ensure that the house is well-maintained, managing repairs and upgrades as necessary.

**Key Skills and Qualifications**
- Proven experience in rostering, scheduling, or a similar administrative role.
- Strong attention to detail and organizational skills.
- Proficiency in using rostering and invoicing software.
- Excellent communication and interpersonal skills.
- Ability to prioritize and manage multiple tasks effectively.

**Desirable Attributes**
- Knowledge of the healthcare, disability, or community services sector.
- Familiarity with compliance standards relevant to rostering and invoicing.
- Problem-solving mindset with a focus on continuous improvement.

**Work Environment**
- Office-based role with occasional requirements for remote support.
- May require flexibility to handle urgent rostering or invoicing issues outside regular hours.

**Job Types**: Part-time, Casual

Pay: $34.00 - $38.00 per hour

Expected hours: 32 per week

**Experience**:

- Microsoft Office: 3 years (preferred)
- Administration: 2 years (preferred)

Licence/Certification:

- Driving License (required)

Work Authorisation:

- Australia (preferred)
