**Administrative Coordinator - Ascending Psychology**

**Role Overview**
We are seeking a highly organized and detail-oriented **Administrative Coordinator** to support the daily operations of our practice. The role involves managing appointments, processing payments, handling client inquiries, maintaining accurate records, and ensuring the smooth flow of administrative tasks.
**Key Responsibilities**
- **Client Coordination & Scheduling**:
- Manage appointment bookings, reschedules, and cancellations via our practice management system (Splose).
- Maintain communication with clients regarding appointments, invoices, and general inquiries.
- Ensure accurate documentation of client records and compliance with confidentiality standards.
- **Billing & Payments**:
- Process payments, issue invoices, and track outstanding balances.
- Reconcile daily transactions and follow up on overdue payments in line with practice policies.
- Manage Medicare, private health insurance, and third-party payments.
- **Administrative & Office Support**:
- Ensure all reports and documents are prepared, stored, and filed correctly.
- Support practitioners with administrative tasks, including referral processing and document organization.
- **Practice Operations & Compliance**:
- Ensure all policies and procedures are followed to maintain efficiency and compliance.
- Assist with onboarding new staff and maintaining practitioner documentation.
- Implement structured workflows to track outstanding tasks, payments, and client communications.
**Skills & Experience**
- Previous experience in medical/psychology practice administration or a similar role.
- Strong organizational and time-management skills with attention to detail.
- Proficiency in practice management software (Splose preferred) and Microsoft Office/Google Suite.
- Ability to handle sensitive information with confidentiality and professionalism.
- Excellent communication skills, both written and verbal.
- Ability to work independently while collaborating with a team.
