**Responsibilities**

**_
Executive Support to Managing Director_**
- Task management - work collaboratively through Trello and Teams to get tasks done
- Meeting preparation - preparing papers and materials for meetings, note taking, minutes and follow up of actions
- Manage travel and accommodation arrangements - both domestic and international
- Expense reconciliation - prepare monthly expense and Amex reports, collate receipts
- Assist with developing and proofing letters, proposals, and presentations
- Client contacts - ensure database is kept up to date with client details
- Draft Managing Director documents for internal use including presentations and speeches where appropriate
- Coordination of all logistics and planning of Managing Director led meetings, events, seminars, and conferences
- Management of a range of events including webinars, Boardroom lunches, staff conferences and annual celebrations

**_Research Team Support_**
- Represent Managing Director, participating on call/meetings that they cannot attend where appropriate
- Serve as liaison between Managing Director, Partners, Directors and staff regarding company climate, employee well-being, project updates, proposals, and planning
- Build and develop relationships with all employees to support day to day operations, and to help define opportunities for increased efficiency and improvements
- Handling a range of inquiries and developing action plans to address them, including the preparation and dissemination of communications to relevant parties as required
- Ensuring that all staffing issues are raised with the Managing Director (and People & Culture if required) and are addressed confidentially and diligently
- Participation in National Admin team meetings, WIP and projects
- Improving and upholding business policies and procedures to ensure appropriate level of control and compliance across all business units - this includes working with Directors on high-level coordination of Privacy and ISO requirements as well as supporting finance activities such as timesheets and invoicing
- Coordinate induction of new research staff
- Coordinate team building and social activities for the Research team
