**About the office**:
The Electorate Office consists of a small team including paid staff and volunteers. Located in Ashgrove, local residents are encouraged to engage with the office and raise any concerns. Consequently, the office can be busy and no two days are the same. Accordingly, this role requires someone to be flexible, and responsive to the changing needs of the office.
**About the opportunity**:
The Electorate Officer role has three primary objectives, to provide:
*
- Direct secretarial, executive and administrative support to the Member of Parliament;
- Support and engage with constituents and community groups; and
- General administration in the daily operations of the electorate office.
The Electorate Officer is the primary office manager, responsible for supervising a small team of staff and volunteers. This role oversights the office operations, ensuring that inquiries are responded to, issues are resolved and events are managed on time and within budget.
The Electorate Office has a small annual budget set by the Member. This role is required to complete monthly financial acquittals (training provided) and report on budget issues and opportunities.
Finally, the Electorate Office runs a number of regular events. The Electorate Officer is responsible for oversighting these, delegating tasks and ensuring they are completed on time, and working with local community groups to ensure events run smoothly.
**About the person**:
This role will suit a person with the following skills and qualities:
- Our office relies on having systems in place to respond to the multiple community and parliamentary demands. We need someone who is highly organised, with an ability to help develop and maintain strong systems.
- This role works closely with Members of Parliament, Ministers and their respective officers. So, we need a person who can demonstrate an ability to cultivate professional working relationships with stakeholders.
- Local residents contact the office for range of issues, including sensitive matters. So, it is important that you are a good listener, can help identify the crux of an issue and work with residents and relevant State Departments to seek a resolution.
- Sound IT skills are essential, specifically within Microsoft. Along with the willingness and ability to learn new systems.
