**The Role**
You will be responsible for administrative support required for the EM, Digital Finance Systems and EM, Enterprise Finance, including delivery of exceptional customer service to internal team members as well as stakeholders internal and external to IAG. This will support the Executive Managers and their teams to work more effectively and efficiently across business to optimise the value of the services that we deliver to the organisation, drive profitability and create sustainable value for the business by delivering enhanced customer experiences, business optimisation and people agility.

Key responsibility of this role is to ensure that the Digital Finance Systems & Enterprise Finance teams receive consistent & reliable administrative support to enable the Executive Managers to operate effectively, in meeting the complex demands from executive management, our teams and our customers across the organisation

**Key Responsibilities**:

- Calendar management, including scheduling of meetings, workshops, offsites and other appointments. Ensure calendars are managed efficiently and enable the EM’s to effectively balance time between the demands of EGM’s, team, stakeholders and productive desk time.
- Workshop / meeting support including booking of meeting rooms, catering (as required), equipment & meeting facilities etc.
- Travel arrangements for EM’s & support for all travel required by the members of the Digital Finance Systems & Enterprise Finance Teams.
- Administrative support for financial management under the responsibility of the EM’s including processing of invoices, credit card statements, expenses etc.
- Team administration support including maintenance of team details in Success+, accurate maintenance of the team org charts, distribution lists etc., ensuring that all team data remains accurate and up to date at all times.
- Coordination & setup of Leadership Team and All-Hands meetings. Responsible for preparation of agendas, collation of presentation material and support to the EM’s during the running of the meeting.
- Support to the EM’s for recruitment, onboarding, offboarding, annual review cycles etc. End-to-end support for onboarding and offboarding for DFS or Enterprise Finance staff & contractor recruitment including account set-up, security passes, issuing & returns of computers and associated technology equipment.
- Support for vendor engagements, excluding vendor engagements related to DFP projects.
- Maintain and update confidential files.

**Skills & Experience**:

- At least 4 years’ experience in an Executive or senior Personal Assistant role, preferably in the insurance and/or finance industry.
- Experience carrying out a wide range of administrative tasks and functions within an office environment.
- Strong Microsoft Word, PowerPoint and Excel skills.
- Effective workload management and timely delivery of commitments.
- Experience working with material that is, at times, highly confidential.
- Demonstrates a high level of attention to detail.
- Proactive in identifying issues and developing solutions.
- Goal focused and continually looking for process improvements.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to handle several tasks simultaneously.
- Flexible in their work approach to effectively manage shifting workloads and ambiguity.
