The National Film and Sound Archive of Australia (NFSA) is Australia’s audiovisual archive, telling the national story by collecting, preserving and sharing audiovisual media, the cultural experience platforms of our time. The collection itself dates to1935, making it one of the world’s oldest audiovisual collections. It is also one of the country’s most used cultural collections, with around 125 million views of collection content each year. The NFSA is in a period of significant change. Following increased Government investment, the institution is in a process of digital transformation, establishing the NFSA as Australia’s most dynamic and valued cultural organisation. We are rebuilding our curatorial workforce and developing the NFSA’s capacity to digitise our collection at scale - to preserve it for the future, to make sure it can be discovered, and to share it with all Australians.

We continue to work on developing a stable, secure and future-proof workforce across our four physical sites based in Canberra and Mitchell in the ACT as well as in Sydney and Melbourne.

We are also undergoing a program of business improvement for many of our corporate systems to improve efficiency and reduce manual handling.

**About the Team**

The Capital Works team is part of the Programs and Place Branch which includes all aspects of public engagement: exhibitions, public programs, education, visitor experience, venue hire, capital works, property and security.

The Capital Works team works closely with the Property and Security team in supporting the NFSA’s mission by providing a safe, resilient and fit for purpose work environment by managing the Agency’s capital works program, property strategy, accommodation and facilities as well as the provision and development of protective security services.

The Capital Works team works cooperatively across all branches and teams, including public programs, learning, curatorial, collection management, digitisation and digital, with an emphasis on ensuring a safe site for visitors and staff and actively leading the delivery of the NFSA’s Place Strategy.

**The Opportunity**

The Project Co-ordinator will work in a small team that is responsible for delivering a variety of small to medium property capital projects including building services asset replacement, workplace and storage facilities, building refurbishment and conservation works.

The Co-ordinator will:

- have strong project management skills,
- be well-organised, and be able to manage competing and shifting priorities; and
- be a highly collaborative and client focused person with strong people skills.
- Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18-months._

Under the limited direction of the Manager Capital Works, the Project Coordinator will be responsible for delivering the following functions:

- Preparing project documentation including project plans, schedules, budgets, communication plans, risk assessments.
- Proactively managing contracts and contract variations.
- Processing payments, monitoring and reporting on project budgets.
- Conducting capital works procurements to comply with Australian Government Commonwealth Procurement Rules and NFSA’s procurement policies and guidelines.
- Ensuring the safety of visitors and staff, and collection material during project delivery.
- Ensuring all works align with relevant legislative requirements and NFSA policies for risk management, security, disability and inclusion, sustainability and heritagemanagement.
- Working effectively with architects, designers, engineers, other consultants and various stakeholders in delivering allocated projects to high quality, cost effective and safe outcomes.
- Managing and supporting development of APS4 Capital Works Officer (direct report).

**Selection Criteria**
- Demonstrated experience in managing capital works, building asset replacement and/orconstruction/fitout projects.
- Knowledge of Australian Government procurement framework and experience in preparing budgets and managing related expenditure.
- Well-developed written, oral and interpersonal communication skills, including the ability to effectively liaise and negotiate with various stakeholders.
