**The Opportunity**
This is an exciting opportunity for a motivated and client focused individual to become a key member of a newly established team within secretariat function at Transgrid.
The CoSec Administrator will support the Company Secretary and Assistant Company Secretary in the management and support of the Transgrid Board, Board Committee.
This role will also support the implementation and administration of Transgrids corporate governance framework.
**Duties and Responsibilities**
As a Company Secretariat Administrator, you will:
- Co-ordinate both Board and Committee meetings and liaise with Executives and Company Secretary, Chairs and Chief Executive Officer to determine clear agendas and timetables
- Manage communications with Company Secretary, including the production and dispatch of management reports and Board and Committee papers and agendas and review meetings and proactively identifying and distilling pertinent issues where appropriate
- Maintain a Board Calendar covering key items to be dealt with at particular Board and Committee meetings each year
- Manage statutory filings and lodgements in timely manner, including ASIC Company Statements
- Communicate directly, and on behalf of the Company Secretary, with Board, ELT/SMT members and Others
- Manage the Company Secretariat Group Mailbox and administrative requirements of Directors, including Director expenses
- Keep the Director and Board related pages of the Website and Intranet up to date
- Review and improve operating practices within the Company Secretariat team to ensure it operates to its optimum
- Process of governance related expenses through internal procedures
- Arrange meeting logistics, including room booking, catering, preparation and pack down
- Monitor security holder queries and working together with the Business to coordinate responses and posting on the Board portal
**Skills & Experience**
What we expect from you:
- Relevant TAFE, undergraduate and/or postgraduate qualifications (desirable).
- Graduate Diploma of Applied Corporate Governance (desirable).
- Organised, methodical and attentive to detail.
- Responsive and highly efficient in the provision of administrative support.
- Proven experience to build and maintain relationships with relevant stakeholders including those at board level.
- Experience in supporting a company secretary or company secretariat function.
- Experience in or ability to use online board paper management system.
