**About the role**
The primary purpose of the Workplace Experience (WE) function at Tyro is the friendly welcoming face of Tyro for all employees, guests, and other external visitors. WE at Tyro is responsible for creating and coordinating effective and memorable workplace experiences.
- WE are responsible for the management of the office, facilities, corporate travel, company events, WHS and office administration.
- As Workplace Experience Specialist you’ll be responsible for making sure the office is presented and operating in an efficient and excellent way that Tyro knows it to be. The primary role is in helping design, create and execute valuable employee experiences at Tyro where we put our people at the centre of the workplace and create seamless service experiences throughout our office.
- This role aims to help with facilitating employee engagement, accelerating workplace energy, and creating an environment that increases productivity and boosts employee fun and wellbeing.
- The Workplace Experience Specialist considers the physical environment that our people work in and ensure that it is pleasant, clean, and well-maintained.
- This a 13-month FTC position with potential to extend and will require you to work onsite on a full-time basis.
**What you'll do**:
- ** Reception Duty**:
- Manages all reception activities - welcoming staff and guests, collecting deliveries & mail, answering calls, and directing inquiries to the right person.
- Ensure that reception is operational during standard working hours.
- ** Office Management**:
- Maintaining office supplies, kitchen supplies and vending machines
- Coordinating repairs and liaising with vendors
- Maintaining and monitoring of the L18 meeting rooms to ensure they are always presentable for external visitors.
- Works closely with the Workplace Experience Manager on all workplace management matters including implementing agreed policies and procedures.
- Identify and manage Workplace Health & Safety hazards within the office.
- Assist with other Workplace Health & Safety duties as required.
- ** Administration**:
- Management of the WE mailbox, slack channel and JIRA tickets
- Administrative support with Executive Leadership Team requests (diary management, travel related)
- Budget management of office costs, monthly reporting of key items to the Workplace Experience Manager
- Coordinate Tyro domestic and international travel
- Expense reconciliation on Workday of Tyro travel and WE expenses
- Manage activities associated with the maintenance of building facilities and equipment including the administration of building security/access for employees.
- Manage visitors and escalate issues as required to ensure the physical security of the Tyro office.
- ** Event Management**:
- Planning and executing engaging events and celebrations, e.g. Christmas party, Blitz hackathon, weekly drinks, wellness initiatives
- Managing catering requests
- ** People Experience**:
- Conduct new starter office tours
- Build strong relationships that will make you a trusted resource for all workplace-related matters
- Ensures functionality, comfort, safety and efficiency of the office environment by integrating people, place, process and technology.
- Ensures that our office facilities reinforce Tyro’s vision, mission and values
- Bring fresh ideas to the table to contribute to creating memorable workplace experiences
- Uphold and contribute to Tyro’s strong risk culture by complying with our policies, completing mandatory training and identifying and managing risks within your day-to-day work
**What you'll bring**:
- Knowledge of office administrator responsibilities, systems, and procedures
- Proficiency in MS Office (Excel, Outlook and PowerPoint, in particular)
- Excellent time management skills and ability to multi-task and prioritise work
- Can quickly handle new and urgent situations that come your way in a calm, cool and collected manner
- Attention to detail and problem solving skills
- Effective written and verbal communication skills with excellent interpersonal skills
