**The Opportunity**:
As the Office Coordinator you will oversee the day to management of our support office in Sydney. Reporting to the Head of HR, this role will also provide ad hoc admin support to the GM, Sephora ANZ Leadership team and HR team.

- Ensuring the office is functioning effectively on a day-to-day basis including stationery & grocery purchasing and general office procurement, office/building maintenance, security, booking of couriers, keeping staff accountable for kitchen and meeting room cleanliness etc.
- Managing office expenditures, including reconciling monthly tax invoices for the office, supporting the finance team with expense claims and invoicing
- First point of contact for IT, both with Regional and our external provider
- General reception servicing including greeting guests, mail management, building rapports with building management, cleaners etc.
- Assist with all onboarding and off boarding requirements
- Organizing any company staff events, including but not limited to annual conferences, end of year parties, engagement initiatives
- Creating and management of Sephora ANZ internal events calendar
- Being responsible for booking travel for the GM, wider leadership team and retail teams by utilizing our corporate travel booking system
- IT and security access asset management, organizing IT refreshes and equipment repairs
- Providing day-to-day support to the General Manager as needed
- Being responsible for the creation of meeting/visit agendas for visitors, GM’s market visits
- Supporting with GM diary management where required, liaising with the Regional EA’s on meetings, travel and agendas
- Managing all company accounts and making sure staff are complying with internal rules and policies
- Booking courses for the retail team
- Keeping all records and documentation up to date
- Providing ad hoc administration support to HR & the leadership team

- Superior organizational skills & ability to multitask
- Strong attention to detail
- Diverse and adaptive skills (open to constant change and adjustments)
- Previous experience with complex travel management would be advantageous
- Stakeholder management experience
- Working under pressure to tight timelines
- Knowledge of various systems
- Discretion in relation to confidential information
