**Position Objective**

The Community Care Administration Officer is responsible for the provision of effective and efficient
administration and customer service support services across the Community Care team and to the broader
Community Services & Wellbeing Team as required.

As a representative of Council, demonstrated professionalism and a commitment to a high level of service
and continuous improvement in the best interest of Council and the Community are essential.

**Key Responsibilities**

**_Data Entry & Service Support _**
- Provide administrative support to the Community Care Team Leader to assist in delivering

Community Care services
- Perform customer service duties for the Community Care administration, including answering and

manner
- Assist in maintaining physical and electronic records management system, including filing and

archiving, data input and reporting and submitting electronic funding claims
- Ensure appropriate stationery supplies are maintained
- Produce agendas and minutes for meetings and arrange venues and catering as required
- Assist in planning and distributing monthly newsletters, monthly planners and activity flyers for

Aged Care and Disability Programs
- Organise, arrange and allocate fleet vehicles to maximise usage
- Report fleet vehicle usage data and maintenance concerns or issues to Council Workshop
- Prepare or assist with the preparation of procedures for work area
- Collate and accurately enter daily service data
- Assist with obtaining quotations and purchasing in line with Council’s procurement policy

**_Administration Support _**
- Ensure general administration and records management requirements are being met
- Provide courteous and professional customer service to internal and external customers and

conduct all transactions in an ethical and efficient manner
- Contribute positively to a supportive team-based work environment and participate in team

meetings and training sessions as required
- Ensure that requests are acted on and reported upon in accordance with Council Policy
- Keep the Community Care Team Leader appropriately and adequately informed on the current state

of activities relevant to your role and to highlight in advance any points likely to influence Council
operations or relations with ratepayers and/or the public
- Maintain a personal time management system to ensure deadlines are met; to ensure that other

staff of the Council are given due notice and time to comply with deadlines so that their own
personal planning is not inconvenienced
- Assist with developing and disseminating communication and marketing materials which promote

community care service to clients, the community and stakeholders e.g. newsletters, website, and
social media
**_General _**

- Actively participate in identifying, recommending, developing and implementing measures through
