The EFI provides high quality, targeted professional learning for staff located in metropolitan, regional, rural and remote locations across the state. The EFI empowers staff with the skills, knowledge and capability to excel in their role.

Capability branch is looking for an organised, professional and efficient Executive Coordinator to manage the flow of high-quality written materials. Materials include Parliamentary requests, ministerial correspondence, departmental reporting, briefings, submissions and requests for senior executive officers.

About the Role:
Responsibilities Include:
The Executive Coordinator will:
Manage a high-volume electronic mailbox and maintain clear records and workflows;
Review, interpret, assign, circulate and track incoming requests in timely and considered manner;
Consolidate, edit, and quality assure ministerial and executive correspondence, briefing notes, and requests in accordance with corporate standards and guidelines (format, style and other technical aspects);
Exercise the highest level of confidentiality and discretion while analysing information on a wide range of issues and texts according to Code of Conduct, departmental guidelines, and whole-of-government policies and legislation;
Work in an integrated way with the broader division to ensure effective alignment of information, support, messaging, and coordination;
Provide feedback and advice to branch officers in relation to emerging trends or issues to assist in the preparation of briefing material;
Maintain a working knowledge of departmental policies, processes and records management;
Perform a variety of administrative or support services as directed; and
Contribute to a positive, productive and professional team culture.

About You:
The ideal applicant will have the following key attributes:
Demonstrated knowledge and experience in the coordination of advice for ministerial and government business;
Demonstrated attention to detail and accuracy in handling documentation;
Exceptional organisational skills with the ability to handle multiple tasks and prioritise effectively;
Demonstrated ability to prepare and coordinate advice, briefings and correspondence for executive senior officers; and
High level of written and verbal communication skills with the ability to resolve problems, engage stakeholders as well as influence and negotiate successful outcomes as appropriate.
