**How will I help?**

As the Project Co-ordinator, you will be supporting the PMO Director, Portfolio Director and Program Directors/Managers with recruitment, on-boarding staff into the portfolio, ad hoc reporting, managing invoice payments, support the administrative functions of the BLTD team, coordinating meetings and packs and provide support to the wider team.

You will also be responsible for:

- Providing Admin support to Portfolio Director and their team
- Providing diary management to Portfolio Director
- Contributing significantly to the effective running of the team, including:

- Financial administration and support for expenditure, account payments and reconciliations (WEAPS, eBuy and pCard), including obtaining approvals within 30 days.
- Resourcing - Collating and requesting Resource approvals for the teams, following up on the approval process, processing in PeopleHQ, following up with Talent Acquisition
- PeopleHQ / Peoplexpress maintenance and HR related tasks
- Work with People Leaders to ensure
- all new starters have everything they need for day 1 - including laptop, phone, building and floor access, sign ons
- All staff leaving return WBC equipment
- Clarity resource management & timesheet approvals - including reporting on allocations and Vacancies
- The health Safety & Wellbeing monthly communications and other important communications are distributed
- Keeping team structures, Distribution Lists & teams group members up to date
- Ordering non-standard stationary & IT equipment,
- Other Ad-hoc admin duties
- Maintaining a support network amongst the EA / Assistant community to share best practice and ensure consistency where appropriate
- Escalating issues that undermine working collaboratively across teams
- Contributing ideas to create opportunities, identify process improvements and enhance the One Westpac team culture
- Delivering objectives and behaviours required for role and understands own accountability for consistently achieving their commitments

**What do I need?**
- You will be a self-starter, able to work self sufficiently
- Proven experience as a Project Coordinator, or a similar role
- Able to manage multiple tasks and strong attention to detail
- Be calm under pressure as we have many deadlines where there is a need to co-ordinate others to do their part to meet the deadline
- Be empathetic to teams needs but also be realistic
- Ability to play a mentoring relationship for the wider team
- Capability to facilitate and foster stakeholder relationships
- Power to exercise governance and best practise
- Ability to engage and influence key stakeholders
- Desire to be constantly challenged and develop new knowledge
