**Your Opportunity**
We are looking for an **Administration Officer, permanent full-time**basis to provide day-to-day administrative support to the **Office of the CEO**at our **Bowen Hills head office**.
Reporting to the **Executive Officer and Company Secretary**, this role helps keep our office running smoothly - coordinating office processes, supporting travel and purchasing, and providing administrative support to the CEO and executives. It’s a great role for someone who enjoys being organised, helpful and at the centre of what’s happening.
The role offers the opportunity to support a range of activities and to adapt as organisational needs evolve.
**Some of the key functions of the role include**:
- Providing general administrative support to the Office of the CEO, executives and directors, including managing group calendars and inboxes.
- Supporting a well-organised office environment, including kitchens, meeting rooms and common areas.
- Coordinating catering and managing meeting room bookings, setup and pack-down for meetings, workshops and events.
- Processing incoming and outgoing mail and monitoring office and kitchen supplies (e.g. stationery, tea/coffee, staff room items).
- Supporting staff travel processes.
- Preparing monthly credit card reconciliation documentation in line with LLW procedures, for review and approval.
- Preparing, formatting and proofreading documents, reports and presentations to a high standard.
- Supporting events, meetings, workshops and staff inductions, including logistics, invitations, room setup, catering and resources.
- Conducting basic research and gathering information (e.g. collating data, sourcing documents, simple desktop research) to support decision-making.
- Maintaining document filing, retrieval and record-keeping in line with LLW policies.Assisting with ad hoc administrative tasks and projects as required.
**What You’ll Bring**

- Experience in an administrative or office support role.
- Proven ability to provide a high standard of confidential administrative support.
- Well-developed written and verbal communication skills.
- Professional presentation, strong service focus and confident liaison skills.
- Strong organisational skills, with the ability to prioritise multiple tasks, meet deadlines and maintain attention to detail.
