**The opportunity**
The Member & Advice business unit exist to champion the customer by delivering exceptional outcomes and is made up of several departments on the front line supporting our members. We are passionate about what we do every day and how that contributes to UniSuper’s purpose. W e’re all here to deliver great retirement outcomes for our members.
This role reports to the Head of Financial Advice and will have end to end responsibility for coordination, administrative support services and business assistance to the Member and Advice leadership and broader teams.
In this role you will be in a position to:
- Proactively provide support to the Heads of Department with day-to-day operations in relation to diary management, planning, producing documentation, travel arrangements and general administration tasks
- Coordinate and plan rhythms for leadership and team meetings including preparation of packs, agenda items and capture and follow up on action items from meetings
- Maintain a strong collaboration relationship with the Executive Assistant and other Team Coordinators across Member and Advice and the broader business. Provide backfill and assistance with workload when required to ensure administration support across the business unit is adequately supported
- Support the Heads of in discharging their accountabilities where the administration support team can take ownership (e.g., following up leaders regarding incomplete compliance training, collating information for budget preparation or reporting, updating organisation charts etc)
- Coordinate business unit activities such as town halls, team meetings, Teams channel management, collate and distribute packs for meetings, organise travel and catering
- Take ownership for overseeing floor occupancy matters such as desk allocation, moves and locker allocation as well as of updating relevant intranet pages and work with internal comms to lift the quality and consistency of pages and documentation
- Champion culture and connection across Member & Advice by bringing to life wellbeing & cultural initiatives, as well as connection and celebration events
**What capabilities will set you up for success**
We are looking for an individual who has worked in a fast moving transformation environment and is comfortable working with a degree of ambiguity. Besides, you will bring:
- Outstanding organisational skills including an ability to set priorities and work to deadlines
- Competent and proactive in planning ahead, anticipating needs and managing all stakeholder requests
- Impactful and authentic written communication skills
- Impeccable attention to detail
- Strength in multitasking, problem solving and decision-making skills
- Continuously looking to improve processes and ways of working
- Strong knowledge and ability in the Office 365 suite; including SharePoint Online
- Experience in supporting a team, ideally within Financial Services
- Experience in working independently and within a team structure
- Self-starter with a desire to take ownership and provide exceptional service and support
