We have an outstanding opportunity for a motivated, enthusiastic and high-calibre Executive Assistant to join the Monash Surgery, Perioperative and Procedural Services; Casey Hospital; Dandenong Hospital Division, supporting the Deputy Chief Operating Officer and the General Manager: Surgery.

**About The Role**
Reporting to the Deputy Chief Operating Officer, the Executive Assistant provides executive support to both the Deputy COO Monash Surgery, Perioperative and Procedural Services; Casey Hospital; Dandenong Hospital and the General Manager Surgery. Providing high level administrative, operational and project support, this role enables the Deputy COO and General Manager to utilise their time and skills effectively and efficiently in managing the Monash Surgery, Perioperative and Procedural Services; Casey Hospital; Dandenong Hospital Division.
This role is the administration team leader for the Monash Surgery, Perioperative and Procedural Services; Casey Hospital; Dandenong Hospital Division, overseeing the training and development and performance management of the Program’s administrative team based at Dandenong Hospital. The Executive Assistant is responsible for establishing an effective relationship with all team members to ensure all administrative matters are managed efficiently and to facilitate the smooth running of the team.
The ideal individual will have the ability to exercise good judgement in diverse situations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ability to quickly build strong relationships with stakeholders is essential.
Responsibilities may include complex diary management, meeting organisation including preparation of agendas/minutes, preparation of Executive-level reports, supporting the General Maanger in the preparation of contracts with external providers, liaising with the Monash Health Executive team and drafting communication on behalf of the Deputy COO and General Manager..
**About You**
You are an experienced Executive Assistant at an executive level. You thrive working in a dynamic, fast paced environment and demonstrate a flexible, can-do attitude and strong organisational, communication and time management skills. You also possess the following:
- High level of organisational and time management skills
- Excellent interpersonal skills and the capacity to function collaboratively within a multidisciplinary team
- Demonstrated ability to work in a complex environment, to meet task requirements to a high standard and achieve deadlines; and to manage changing priorities in a flexible, positive way
- Ability to prioritise work and exercise discretion with established policies, guidelines and procedures
**What You Need**:
- Previous experience working as a Executive Assistant at executive level
- Excellent customer service skills and a high standard of both written and verbal communication skills
- The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
- Good organisational skills and be comfortable prioritising and meeting multiple demands
- Excellent interpersonal and communication skills
- Extensive administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered
- Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury E-recruit, iPM) is desirable
