**Key Responsibilities**
- Provide a range of governance and administrative support services to meet the project team needs.
- Prepare draft and/or research information for various documentation including processes and procedures, internal briefing notes, project artefacts and status reports, as well as preparing PowerPoint packs and other papers including, drafting terms of reference for meetings/ committees.
- Prepare agendas for meetings in consultation with the Project Manager, record meeting minutes, and ensure follow-up action is taken on matters determined.
- Coordinate and manage project documentation, complying with administrative systems, processes and policies, to ensure that all documentation is accurate, stored correctly and accessible
- Coordinate meetings with key stakeholders and coordinate working groups, organisation meetings and team meetings
- Establish a library for business processes and checklists, and vendor contact list.
- Manage and coordinate ICT contracts and related purchased orders as well as coordinating the work performed by stakeholders, to ensure that services are provided in accordance with agreed program and project requirements, standards, budget and timeframe.
- Coordinate project activities such as project tests, BAU transitions and release management
- Assist the Project Managers and project teams in a timely manner with the delivery of strategic and operational projects and initiatives. In additional, carry out other duties as directed to ensure the smooth running of the projects.

**Key Requirements**
- High level administrative experience in a fast-paced environment.
- Experience developing, implementing, and maintaining office processes and tools.
- Ability to work effectively both independently and as part of a team.
- Knowledge of file management, transcription, and other administrative procedures.
- Knowledge of PRINCE2 project management methodology.
- Experience using the Project Management and Planning tool.
